This role is a key support function across multiple internal teams and plays an essential part in keeping our office running smoothly day to day. The ideal candidate is a natural problem-solver who takes initiative, communicates clearly, and thrives in a fast-paced environment. They are comfortable wearing many hats, pivoting quickly between tasks, and supporting when the team needs them most.

Key Responsibilities

  • Support the Office Manager with day-to-day office operations, ensuring a well-organized and welcoming environment for staff and visitors
  • Greet and assist visitors upon arrival; answer and route phone calls, emails, and correspondence in a professional manner
  • Oversee and tidy up common spaces including conference rooms and kitchen areas
  • Serve as the on-site point of contact for the building supervisor, coordinating freight elevator access and addressing additional building needs as they arise
  • Support the Office Manager with replenishment of office supplies, keeping the office consistently stocked and organized
  • Provide general administrative support to Admin team and management as needed
  • Support the Executive Assistant to the CEO and Events Lead with errands, event logistics, and ad hoc requests; assist with event preparation, setup, and on-site support as required
  • Aid the People team with scheduling and coordination needs across recruiting, onboarding, and People programming
  • Be available on-call on Mondays and Fridays, with the ability to come into the office as needed

Qualifications

  • Internship or equivalent experience in an administrative, office support, or operations role preferred
  • Highly organized with strong attention to detail and the ability to manage multiple tasks simultaneously
  • Proactive, dependable, and comfortable with a flexible, on-call schedule (Mondays and Fridays); Must reside within quick commuting distance of our Manhattan office
  • Strong interpersonal and communication skills; comfortable working across multiple teams and seniority levels
  • Able to handle sensitive and confidential information with discretion
  • A positive, can-do attitude and genuine team-player mentality — no task is too big or too small
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel); familiarity with expense management tools a plus

Annual Base Salary Range

$50,000; Compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position.
