Under the direction of the Northwest Family Resource Collaborative (NWFRC) Executive Director, the LCTS Administrative Professional provides extensive administrative support to NWFRC personnel.

Responsibilities

  • Maintain office space in professional and welcoming condition.
  • Understand and follow district administrative procedures.
  • Prepare and submit all accounting forms requiring processing.
  • Track and manage NWFRC budgets and expenditures.
  • Review revenue and expenditure reports monthly and prepare/submit necessary adjustments for accurate financial reporting.
  • Maintain eFP access and system knowledge.
  • Provide financial reports, research transactions, and respond to day-to-day financial-related requests from the NWFRC Executive Director.
  • Manage databases for email communications lists, partners, service affiliates, and edit content for brochures, newsletters, and annual reports.
  • Track and update appointments or event dates on calendars.
  • Proofread contracts and governing documents.
  • Capture meeting minutes at governing board and committee meetings.
  • Administer the schedule for the NWFRC Executive Director.
  • Field phone calls and emails as needed.
  • Participate in mutual aid drives (e.g., winter jackets, hats, gloves, backpacks, books, dental care) and connect with partner sites for distribution.
  • Gather and relay youth and family services information to families and community partners via communications channels.
  • Order office supplies, including IT equipment.
  • Perform other general duties as needed or assigned.

Requirements

  • High school diploma or GED.

Qualifications

  • Prior related secretarial/clerical work experience (preferred).
  • Prior customer service and Microsoft Office experience (preferred).
  • Experience in an education setting (preferred).
  • Excellent verbal and written skills, including knowledge of office practices, grammar, spelling, and educational terminology.
  • Advanced knowledge of computers and software applications with proficiency in MS Word, Access, Excel, Outlook, Mailchimp, Constant Contact, Sign-up Genius, and web-based applications including Google Suite.
  • Knowledge of bookkeeping concepts and terminology.
  • At least one year of previous administrative and/or related work experience.

Skills

  • Understanding of data entry concepts.
  • Knowledge of spreadsheet and database management software and word processing skills.
  • Fundamentals of general office and administrative procedures and operational requirements.
  • Understanding of office equipment and typical productivity software, databases, or customized systems/applications.
  • Knowledge of basic record retention, record/file/database maintenance requirements.
  • Understanding of data privacy requirements, confidentiality, laws, and rules as they pertain to job assignments.
  • Resourceful, self-directed, responsible, problem solver, and skilled communicator.
  • Ability to collaboratively solve problems.
  • Ability to work in an organized, efficient, and process-oriented manner.
  • Ability to apply and follow record-keeping procedures and protocols to maintain and process data.
  • Ability to perform work assignments requiring attention to detail, confidentiality, precision, and accuracy in accordance with set deadlines.
  • Ability to perform assigned functions with minimal direction in accordance with established departmental operations.

Pay

$27.36 to $29.81 hourly.

Schedule

  • 8 hours/day; 260/261 workdays per year.
  • Monday through Friday, with up to nine evening and five weekend days annually.
  • FTE: 1.0.
  • Desired start date: August 24, 2026.
