About the role
The Shipping Coordinator ensures all closed loans are complete, accurately documented, and delivered to investors and government agencies in a timely manner. This position plays a critical role in Delmar Mortgage's post-closing process by ensuring loans are purchase-ready, compliant with investor and agency requirements, and free of documentation deficiencies.
Responsibilities
- Verify complete closing packages are received within three business days of closing.
- Follow up with settlement agents or closing companies regarding missing documentation.
- Upload all documents into Encompass and ensure documents are indexed to the correct folders.
- Review loan files to identify and obtain missing documentation.
- Deliver loans through investor portals and Investor Connect.
- Verify documents have been successfully uploaded and accepted.
- Resolve delivery exceptions as needed.
- Process FHA, VA, and USDA loan requirements, including:
- FHA: insurance payment, MIC upload, and MRC transfers.
- VA: funding fee payment and LGC upload.
- USDA: guarantee fee payment, LNG upload, and lender record changes.
- Navigate agency websites to ensure loans are eligible for purchase and insurance.
- Coordinate with mortgage insurance companies to activate or update coverage.
- Ensure required mortgage insurance documentation is complete and accurate.
- Maintain accurate records and documentation.
- Ensure investor and regulatory requirements are met.
- Escalate issues that may delay loan purchase or funding.
Requirements
- Working knowledge of mortgage closing documents and post-closing processes.
- Experience with Encompass or a similar Loan Origination System (LOS).
- Ability to navigate investor and government agency websites.
- Strong communication, organizational, and time-management skills.
- Excellent attention to detail with strong analytical and problem-solving abilities.
- Ability to prioritize multiple deadlines in a fast-paced environment.
- Ability to work independently and collaborate effectively with internal and external partners.
- Proficiency in Microsoft Office, including Outlook, Excel, and Word.
Preferred Qualifications
- Previous mortgage shipping or post-closing experience preferred.
- Knowledge of FHA, VA, USDA, Fannie Mae, and Freddie Mac delivery requirements.
- Experience working with mortgage insurance providers.
