About the Role

The Mortgage Loan Officer Assistant supports the Mortgage Banker throughout the mortgage loan process, assists with borrower and referral partner marketing, ensures top-level customer service, facilitates loan tracking, and maintains communication between the team and all interested parties.

Responsibilities

  • Receive all loan files from Mortgage Banker via email or paper form.
  • Meet regularly with Mortgage Banker to keep communication on loan files and marketing current.
  • Maintain customer and referral partner retention software (Loan Tool Box).
  • Assist Mortgage Banker with new applications.
  • Input loan application data in system for loan applications not received via Internet.
  • Create customer folder in shared drive.
  • Pull credit reports.
  • Send loan application documents to borrowers if requested by Mortgage Banker.
  • Retrieve new loan applications from Internet website and inform Mortgage Banker of new loan file.
  • Gather and store any documentation brought to office from customers and scan to Mortgage Banker.
  • Perform transaction-specific tasks:
    • Purchase Transactions:
      • Gather all referral partner information and enter in Loan Tool Box (LTB).
      • Enter customer information in LTB.
      • Make initial “Welcome” call to listing and selling agents on behalf of Mortgage Banker introducing team and verifying information for closing.
      • Send initial personalized letter from Mortgage Banker to listing and/or selling agent.
      • Schedule loan closing with assigned closing attorney and follow-up to ensure all required information is received in a timely manner.
      • Track loan status (e.g., appraisal status, title status) based on key elements Mortgage Banker wants reported to referral partners.
      • Track loan file progress through underwriting to ensure loan packages are sent to closing attorney within 72 hours of closing.
      • Follow-up with closing attorney for HUD-1, deliver to Mortgage Banker for review and distribution.
      • Make “Goodbye” call 24 hours prior to closing to review final closing date and time.
      • Update customer information in LTB to reflect new loan data.
    • Refinance Transactions:
      • Enter customer information or update current information if a returning customer.
      • Make initial “Welcome” call to borrowers to introduce team on behalf of Mortgage Banker and verify closing information.
      • Schedule loan closing with chosen attorney and follow up to ensure all information has been received.
      • Track loan status through processing and underwriting to ensure loan package is sent to attorney within 48 hours of closing.
      • Obtain HUD-1 for Mortgage Banker to distribute to borrowers.
      • Verify final loan closing time and make “Goodbye” call to borrowers 24 hours prior to closing.
      • Update LTB with final loan data.
  • Perform marketing and customer service-related activities.
  • Perform other related duties as assigned.

Qualifications

  • High school diploma or equivalent required.
  • Minimum of 2 years of job-related experience.
  • Ability to operate a personal computer using Microsoft Word and Excel.
  • Working knowledge of loan documentation and bank terminology.
  • Basic knowledge of accounting.
  • Ability to deal tactfully and effectively with customers and fellow employees.
  • Ability to learn and utilize all necessary computer applications (knowledge preferred).
  • Ability to follow instructions, policies, and procedures.
  • Must be detail-oriented and organized.
