KEY ACCOUNTABILITIES

Provides a positive first impression to every visitor and the voice of Seaway answering phones
Supports multiple departments with specific project work that are completed in a timely and high quality manner

KEY RESPONSIBILITIES

  • Welcome visitors by greeting them, in person or on the telephone; answering or referring inquiries
  • Notify company personnel of visitor arrival
  • Maintain security by following procedures, monitoring logbook, issuing visitor badges
  • Maintain safe and clean reception area
  • Answer, screen, and forward incoming phone calls while providing basic information when needed; maintain internal phone extension directory
  • Receive and sort daily mail, deliveries, and couriers
  • Perform clerical duties such as filing, photocopying, scanning, faxing, and mailing
  • Schedule and maintain main conference room calendars, coordinate meeting details as needed, run errands, order food for business meetings and events
  • Coordinate and manage administrative service suppliers such as food vendors, cleaning service, coffee and water service, phone system, etc.
  • Order office supplies for the facility or specialty orders
  • Cook up company events such as summer luncheon and holiday party
  • Supports Seaway involvement with the community and coordinates charitable activities
  • Perform administrative support for multiple departments such as reporting, announcements, and research utilizing Microsoft Office Suite and manufacturing software
  • The hub for the front office where visiting guests and employees are assisted in a positive manner

  • High School Diploma or higher
  • 3-5 years experience in office administration; manufacturing experience a plus
  • Extensive software skills, Microsoft Excel, and internet research abilities
  • Highly adept at navigating a computer including creating and organizing electronic files, typing 40+ wpm, email, and drafting professional documents
  • Strong communication skills, both written and verbal
  • Organize, multitask, and prioritize
