About the role

The Millwork Sales Coordinator executes all aspects of our sales call process and strategies, facilitating and coordinating business activities of accounts and executing PARR sales initiatives. Their primary focus is supporting the sales team by creating quotes, processing orders, and helping to manage construction schedules. The Millwork Sales Coordinator receives daily direction from the Millwork Outside Sales Person and reports to the Division Sales Manager. Interacts daily with Production Managers and both internal and external customers. Interacts regularly with department employees (Central Purchasing Department, Account Management Team, IT Department), vendor representatives, and industry associates.

Responsibilities

  • Establish and maintain professional relationships with customers
  • Communicate with a wide number of customers in the Residential Construction industry, and help sell and manage the timely flow of building materials to their jobsite
  • Expertly use, promote, and facilitate PARR Bridge Strategy
  • Proactively set, reach for, and meet (or exceed) personal sales and profit goals
  • Primary player in deepening customer relationships and scheduling timely material shipments – ensuring account profitability as well as customer satisfaction and loyalty
  • Sell on overall quality, value, and service, rather than price
  • Precisely and efficiently manage one’s time and prioritize workflow in a fast-paced environment
  • Communicate with dispatch or production manager to ensure deliveries are not overpromised to customers
  • Send orders to dispatch with request for pickup
  • Maintain customer profiles in Outlook or CRM (full name, company name, title, office number, cell number, email, and matrix)
  • Maintain cleanliness of workspace
  • Follow best practices in order entry, setting up deliveries, and all aspects of the job
  • Walk customers to products in store
  • Introduce yourself to customers and use their name when possible
  • Manage open orders to ensure they are invoiced in a timely manner or deleted
  • Follow SPC guidelines and proper GP%
  • Send orders to purchasing for processing
  • Greet customers professionally
  • Answer phone promptly with a professional greeting
  • Identify customer’s urgency and complete orders quickly
  • Confirm customer’s material needs prior to sending deliveries
  • Complete quotes and follow up in a timely manner
  • Be proactive with customer’s needs
  • Maintain a PARR share file for customer plans and take-offs
  • Exhibit a high level of follow-through with orders – ensure inventory arrives, communicate with customers, etc.
  • Perform other related duties as assigned

Job Knowledge

  • Write quotes and orders with a high degree of accuracy and speed
  • Perform simple takeoffs for doors and millwork
  • Regularly attend PK’s and PARR-offered classes
  • Complete AMT training
  • Follow proper material return procedures
  • Manage Outlook and personal notebook
  • Search inventory and open orders in all yards to meet customer’s preferred option
  • Utilize all resources to find solutions
  • Follow all AR account and cash handling procedures
  • Learn products and their application for end users
  • Complete online training as needed
  • Understand pricing levels and avoid unnecessary discounting
  • Seek out product transactions and order history
  • Suggest substitute products if out of stock
  • Report low inventory when needed
  • Make outgoing phone calls to prospects regarding business opportunities

Teamwork

  • Attend and help perform inventory
  • Arrive on time and prepared to work
  • Adhere to company policies
  • Take ownership of self, PARR performance, customer challenges, and avoid criticizing or condemning
  • Ensure other divisions of PARR Lumber also get an opportunity to sell each customer materials
  • Assist customers in store/yard/warehouse when needed
  • Assist other team members with work as appropriate
  • Contribute ideas to improve processes
  • Organize and present PKs to the entire team when needed

Safety

  • Wear high visibility clothing and proper uniform when needed
  • Keep workspace clutter-free
  • Always operate equipment safely
  • Consistently follow company safety protocols
  • Participate on the safety committee as needed
  • Encourage coworkers and customers to follow best safety practices
  • Proactively bring safety issues to the attention of management

Communication

  • Communicate in a professional style to the entire yard and crew
  • Participate in team meetings and discussions
  • Communicate professionally and productively with AMT
  • Notify customers when product arrives
  • Confirm delivery time with customers after scheduling in DDMS
  • Write legibly on business logs and other handwritten material
  • Respond to voicemails in a timely manner
  • Respond to emails promptly with correct grammar and spelling
  • Take ownership and communicate with management when mistakes are made
  • Include clear delivery and contact information on orders
  • Use relationships with coworkers to solve problems
  • Communicate with operations team about material returns, requirements, and pictures as appropriate
  • Maintain relationships with vendors and communicate support needed
  • Communicate with customers about market changes/conditions
  • Professionally manage upset or disgruntled customers
  • Inform receivers on the status of cancelled special orders or materials to be returned to suppliers
  • Bring areas of concern to management’s attention
  • Proactively and positively communicate with all audiences

Requirements

  • Knowledge of building materials and/or experience in the construction industry required
  • Strong communication skills both through phone and email
  • Proven ability to develop relationships
  • Ability to speak, write, and read English required
  • Must be able to operate a personal computer, smartphone, scanner, and any other equipment necessary for the job
  • Ten-key by touch required
  • Must be able to type 40+ WPM
  • Proficiency in Microsoft Word, Excel, and Outlook
  • Ability to execute PLC selling strategies and initiatives
  • Ability to achieve sales goals and objectives
  • Knowledge of PLC selling principles, practices, and protocols
  • Willingness to share department responsibilities to meet deadlines
  • High School Diploma or GED equivalent

Working Conditions

This position works in an office environment at a desk with a computer.

Physical Requirements

  • Ability to sit and/or stand for extended periods of time
  • Must be able to lift, push, pull up to 50 pounds, and carry objects 50 feet
