About the role

The Warranty Administrator plays a critical role in protecting dealership profitability, ensuring compliance with manufacturer standards, and supporting a seamless service experience. Responsibilities

  • Accurately review, prepare, and submit all warranty and goodwill claims in accordance with manufacturer and dealership guidelines
  • Supervise and direct the activities of service office staff
  • Ensure all repair orders include complete, accurate, and compliant documentation (technician story, labor ops, parts, and coding)
  • Monitor claim status and proactively follow up on rejected, returned, or unpaid claims
  • Maintain audit-ready warranty files and support internal and manufacturer warranty audits
  • Reconcile warranty receivables and investigate discrepancies between submissions and payments
  • Partner with Service Advisors and Technicians to ensure proper documentation and warranty eligibility
  • Provide guidance to the service team on warranty requirements and opportunities to improve claim acceptance rates
  • Track trends in claim rejections and identify process improvements to reduce errors and chargebacks
  • Maintain organized, accurate records in alignment with dealership and manufacturer standards

Requirements

  • 2+ years of automotive warranty administration experience (Mercedes-Benz or luxury brand preferred)
  • Strong knowledge of warranty policies, repair order structure, and labor operations
  • Experience working with dealership management systems (DMS) and manufacturer warranty portals
  • Exceptional attention to detail and commitment to accuracy
  • Strong organizational and time management skills with the ability to manage multiple priorities
  • Ability to interpret and apply manufacturer policies consistently and correctly
  • Effective communication skills and ability to collaborate cross-functionally with service, parts, and accounting teams
  • A proactive, problem-solving mindset with a focus on continuous improvement and compliance

Pay

$45.00 - $55.00 per hour. The final pay offered to a successful candidate will be dependent on several factors that may include but are not limited to the type and years of experience within the job, the type and years of experience within the industry, and education.
