Medical Spa Coordinator (Front Desk)

Synergy Face + Body is seeking a full-time Medspa Coordinator to oversee daily operations and ensure a seamless client experience from start to finish. The ideal candidate is highly motivated with a passion for the beauty and wellness industry and ready to serve as a brand ambassador for Synergy. This role involves educating clients on Synergy’s treatment options and products.

Synergy Face + Body is a state-of-the-art facility specializing in advanced cosmetic and facial plastic surgery procedures, including injectables, dermal fillers, skin and laser treatments, weight loss, and more. Synergy has four locations in Raleigh and two in Richmond, VA, and is part of Aesthetic Partners, a larger network of practices across the US.

Responsibilities

• Consistently provide excellent customer service to all clients in-person, over the phone, and through text/email inquiries.
• Educate clients on Synergy’s services, products, and treatment options.
• Maintain a positive attitude while working in a fast-paced med spa environment.
• Oversee the daily schedule to ensure a seamless client experience.
• Answer and screen phone calls, schedule appointments, take messages, and ensure prompt delivery to the proper staff member.
• Monitor and respond to office voicemail, email inquiries, and text messages throughout the day.
• Accurately check clients in/out and schedule all follow-up visits.
• Perform intelligent booking using Millennium software.
• Prepare proper medical documents for patients through EMR.
• Stay calm under pressure and quickly find solutions to potential issues.
• Maintain cleanliness and appearance of the spa, including relaxation areas, lobby, front desk, and back of house.

Requirements

• 2 years of end customer service experience.
• 1 year of medical aesthetics experience.
• Must have a positive attitude and strong work ethic.
• Team player with physical mobility to bend, lift, and stand for prolonged periods.
• Ability to work overtime, weekends, days, evenings, and/or holidays.
• Ability to meet US employment and eligibility requirements.

Pay

Compensation begins at $18.50/hour.
