About the Role
As a Medical Records Specialist, you will assist the HIM Director by routinely performing duties in support of the management of the Horizon Patient Folder (HPF)/McKesson Patient Folder (MPF) workflow queues, working applicable worklists within 3M 360 Encompass, resolving unbilled accounts, and processing physician suspensions. You will also serve as the primary point of contact when the HIM Director and/or HIM Coordinator is unavailable.
Responsibilities
- Retrieve discharged medical records from various hospital departments and reconcile them to ensure all records are accounted for.
- Facilitate the retrieval, printing, storage, archival, and record retention of documents and/or other Alternate Media that cannot be scanned into HPF/MPF (e.g., fetal monitor strips).
- Assist with the physician suspension process by evaluating if a physician should be put on suspension, creating recommended suspension lists for approval, sending notice letters, and making reminder calls.
- Prepare medical records and loose documents for scanning, scan medical record documents, and index medical record documentation.
- Perform quality control validation to ensure all documents associated with each record have been scanned.
- Complete any certification program and continuing education required by state law for birth certificate clerk duties.
- Interact with parents to collect and document birth information, deliver appropriate forms, and provide guidance in completing them.
- Work with parents to complete the Acknowledgment of Paternity form, requiring patience, diplomacy, and sensitivity.
- Review patient medical records and other resources to obtain required birth information.
Requirements
- High school diploma or GED preferred.
- Hospital or medical office experience preferred but not required.
- Previous experience handling patient health information, medical records document imaging, and/or medical records is strongly preferred.
- Completing a state certification program may be required for birth certificate processing (training and course fees will be provided).
