Medical Records Processing Specialist Onsite

About the role
This is an entry-level, onsite position located at 1701 Veterans Dr, Florence, AL 35630. A $1,000 sign-on bonus is paid after 180 days of employment. The role is ideal for bright, energetic, and motivated candidates looking to start their career with a fast-growing company.
Responsibilities
- Complete all incoming Release of Information (ROI) requests in a timely and efficient manner, maintaining 100% ROI accuracy.
- Complete STAT requests within one hour and all other ROI requests within a 24-hour turnaround time.
- Keep all work queues current and validate requests for release of Protected Health Information (PHI) according to established procedures.
- Perform quality checks on all work to ensure accuracy of release, confidentiality, and proper invoicing.
- Maintain confidentiality, security, and ethical standards for PHI during transport, storage, and disposal.
- Complete legal affidavits and address related questions as needed.
- Regularly scan ROI requests into patient charts.
- Abide by ROI policies specific to both HealthMark and the client.
- Maintain a neat, clean, and professional personal appearance in accordance with the client’s dress code.
- Keep a clean and orderly work area, ensuring records and files are properly stored and supplies are adequately stocked.
- Maintain and update the facility guide as needed.
- Provide excellent customer service by being attentive, respectful, and proactive in identifying and de-escalating patient complaints.
- Follow through on commitments and communicate effectively with customers to achieve maximum satisfaction.
- Assist clients, patients, and requestors with the status of medical records requests via phone.

Requirements
- Regular access to Protected Health Information (PHI) and/or confidential client data.
- Strong understanding of confidentiality requirements, HIPAA regulations, and organizational privacy and security policies.
- Must report any known or suspected unauthorized access, use, or disclosure of PHI immediately to the Privacy Officer or Information Security team.
- Timely completion of all required company-sponsored and regulatory training programs.
