This is an entry-level, onsite position offering a $1,000 sign-on bonus paid after 180 days of employment.

About the role

An exciting opportunity for someone looking to start their career with a fast-growing company. This role supports HealthMark’s rapid expansion by processing medical records requests with accuracy, efficiency, and a strong commitment to patient privacy.

Responsibilities

  • Complete all incoming Release of Information (ROI) requests in a timely and efficient manner, maintaining 100% accuracy.
  • Process STAT requests within one hour and all other ROI requests within a 24-hour turnaround time.
  • Keep all work queues current and validate requests for release of Protected Health Information (PHI) according to established procedures.
  • Perform quality checks on all work to ensure accuracy, confidentiality, and proper invoicing.
  • Maintain confidentiality, security, and ethical standards for PHI during transport, storage, and disposal.
  • Complete legal affidavits and address related questions as needed.
  • Regularly scan ROI requests into patient charts.
  • Abide by ROI policies specific to both HealthMark and the client.
  • Maintain a neat, clean, and professional personal appearance and work area, adhering to the client’s dress code.
  • Ensure records and files are properly stored before leaving the area and maintain adequate supplies.
  • Update and maintain the facility guide as needed.
  • Provide excellent customer service by being attentive, respectful, and proactive in identifying and de-escalating patient complaints.
  • Communicate effectively with customers and assist clients, patients, and requestors with the status of medical records requests via phone.
  • Achieve maximum customer satisfaction through follow-through and responsiveness.

Requirements

  • Strong understanding of confidentiality requirements and adherence to all HIPAA regulations and organizational privacy and security policies.
  • Ability to report any known or suspected unauthorized access, use, or disclosure of PHI immediately to the Privacy Officer or Information Security team.
  • Timely completion of all required company-sponsored and regulatory training programs.
