Medical Practice Manager

About the role

The practice is seeking a Medical Practice Manager to lead, improve, and make an impact. The physician leadership team is looking for a proactive, solutions-oriented business partner.

Responsibilities

  • Take ownership of day-to-day business and administrative operations.
  • Evaluate existing processes and identify opportunities to improve efficiency, communication, organization, and accountability.
  • Recommend and implement new processes, systems, policies, and operational best practices.
  • Establish meaningful KPIs and reporting to give leadership better visibility into practice performance.
  • Serve as the go-to operational resource for physician leadership and staff.
  • Manage facilities, equipment, vendors, technology needs, and office resources.
  • Lead, support, and develop approximately 20+ non-physician employees, including administrative and clinical support teams.
  • Partner closely with team leads across front-office and clinical support functions.
  • Manage recruiting, hiring, onboarding, training, performance reviews, scheduling, coverage, and staff development.
  • Create an environment where employees feel comfortable communicating concerns, asking questions, and bringing forward ideas.
  • Conduct staff meetings and maintain consistent communication across the organization.
  • Oversee payroll preparation and coordination with the practice's payroll provider.
  • Maintain and improve job descriptions, personnel policies, and employee procedures.
  • Prepare and analyze P&L statements, budgets, and financial reports for physician leadership.
  • Utilize QuickBooks for financial management and reporting.
  • Oversee billing, collections, accounts receivable, accounts payable, and overall revenue cycle performance.
  • Analyze the financial impact of staffing and other operational decisions.
  • Review fees, reimbursement trends, and industry benchmarks.
  • Negotiate with vendors to optimize pricing and service agreements.
  • Maintain working knowledge of CPT and ICD-10 coding and their relationship to reimbursement.
  • Work directly with commercial insurance carriers and other healthcare payers.
  • Review and negotiate payer contracts and reimbursement rates.
  • Evaluate reimbursement performance and identify opportunities to improve revenue.
  • Help ensure compliance with payer, credentialing, governmental, and applicable regulatory requirements.
  • Act as a trusted business partner to physician leadership.
  • Bring recommendations and solutions to leadership rather than waiting for direction.
  • Provide regular reporting on financial performance, staffing, operational issues, and business priorities.
  • Lead projects and initiatives on behalf of the physician partners.
  • Establish a consistent communication rhythm between leadership, staff, and the Practice Manager.
  • Oversee the effective operation of the practice's EHR and practice management systems.
  • Cook up hardware, technology, and vendor support needs.
  • Identify opportunities to use technology to streamline administrative and clinical workflows.
  • Support reporting, data visibility, and operational decision-making through effective use of practice systems.

Requirements

  • Previous medical practice management, healthcare operations, or medical office leadership experience.
  • Experience within an independent/private medical practice strongly preferred.
  • Strong proficiency with QuickBooks.
  • Demonstrated understanding of P&L statements, budgeting, accounts payable, and practice financials.
  • Experience overseeing medical billing, collections, accounts receivable, and revenue cycle operations.
  • Experience working with and ideally negotiating contracts and reimbursement rates with insurance carriers.
  • Working knowledge of CPT and ICD-10 coding.
  • Experience leading, hiring, developing, and retaining employees.
  • Experience with EHR and medical practice management systems.
  • Ability to establish KPIs, improve processes, and bring greater structure to an organization.
  • Strong interpersonal and communication skills with the ability to build trust with both physicians and staff.
  • A proactive, resourceful leadership style—identify problems, bring forward solutions, and take ownership through implementation.
