About the Role
This position maintains therapist credentialing with insurance panels, verifies patient insurance, and processes medical billing. As one of the first points of contact for clients, the role involves greeting visitors in person and by phone, assisting with scheduling through the Electronic Health Record, processing intakes and referrals, and leading outreach efforts. The position also manages Charity Tracker demographics and supports staff with case notes and billing.
Responsibilities
- Verify insurance coverage and patient eligibility.
- Post payments and reconcile accounts.
- Investigate and resolve denied or rejected claims.
- Communicate with patients and insurance companies regarding balances and authorizations.
- Maintain accurate billing records and documentation.
- Collaborate with front office, clinical staff, and insurance payers.
- Perform front desk receptionist duties: greet visitors, monitor access, open mail, schedule clients, process payments, and answer phones.
- Coordinate outreach activities, including recruiting volunteers and preparing materials.
- Assist staff and interns with case notes and converting them into billable units.
- Provide management with reports on claim statuses.
- Adhere to safety protocols and confidentiality standards (HIPAA, client information, financial data).
- Follow the organization’s Code of Conduct, Faith and Moral Policy, and maintain a solution-oriented, collaborative approach.
- Other duties as assigned by the Office Administrator and Senior Director.
Requirements
- High school diploma.
- Minimum of 3 years’ experience in customer service.
- Minimum of 1 year’s experience in medical billing and verification.
- Preferred experience in behavioral health billing and/or CPT coding (training available for the right candidate).
- Reliable transportation, valid driver’s license, clean driving record, and valid vehicle insurance.
- Medical billing certification preferred.
Skills
- Working knowledge of billing practices, accounting reports, and insurance claims.
- Proficiency with computer software and multi-line phones (e.g., Microsoft Office, AdvanceMD/EHR software preferred).
- Understanding of HIPAA standards and mental health regulations (or ability to obtain within 3 months).
- Detail-oriented, organized, self-motivated, and able to work independently or on a team.
- Strong written and verbal communication skills.

Pay
$18.75 per hour.
Schedule
Full-time. Travel requirements include 5% local and 0% overnight.
