About the Role

This is a full-time, on-site position requiring a minimum of 40 hours per week. The role involves analyzing proposals and documentation to prepare project quotes for customers, responding to RFQ packets, and developing sales orders for awarded projects.

Responsibilities

• Create accurate quotes and cost estimates that meet all customer requirements.
• Enter and verify sales orders (quantities, items, pricing, ship-to address, sales tax, FOB).
• Enter and verify new purchase orders, ensuring they match quotes (quantities, items, pricing).
• Create new items in MAS as needed for sales orders.
• Assist with updating and maintaining accurate pricing for all products.
• Prepare invoice requests for representatives and customers.
• Complete sales orders, truck schedules, and special bundling instructions for new orders.
• Read and interpret engineering specifications for projects.
• Communicate with customers face-to-face and via phone.
• Keep supervisor informed of any issues as they arise.
• Cross-train and support production scheduler and shipping coordinator.
• Assist with monthly inventories.
• Provide information to sales, credit, accounting, and production teams as needed.
• Write and send out OFIs, CMs, and DMs when necessary.
• Participate in recurring customer meetings for quote, order, or other updates.

Requirements

• High school diploma required; some college coursework or a business degree preferred.
• Minimum of two years of quote and order entry experience in a fast-paced environment.
• Experience communicating with external and internal customers via in-person, phone, email, and fax.
• Working knowledge and experience with order entry systems.
• Ability to troubleshoot problems and work well with others.
• Positive attitude and a drive to improve processes.

Physical Demands

• Regularly required to stand, walk, sit, use hands to finger, handle, or feel, reach with hands and arms, talk, and hear.
• Occasionally required to climb or balance, stoop, kneel, bend, crouch, crawl, and taste or smell.
• May occasionally lift and/or move up to 50 pounds.
• Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
