Role Summary

Province is seeking a highly organized and detail-oriented Matter Administrator to join our Las Vegas office. This full-time position plays a critical role in supporting legal and financial professionals by managing case documentation, coordinating court filings, and ensuring compliance with court-mandated procedures—particularly in Chapter 11 bankruptcy matters. The ideal candidate will bring strong technical proficiency in Microsoft Office (Word, Excel, Outlook), experience with legal document templates, and a working knowledge of AI-assisted tools. A background in preparing and filing fee and retention applications is highly desirable. This role requires a proactive, focused individual with exceptional attention to detail and the ability to thrive in a fast-paced, deadline-driven environment.

Key Responsibilities

  • Review and edit frontline employee time and expense entries.
  • Aid counsel in preparing, proofreading, and filing retention and fee applications, particularly in Chapter 11 bankruptcy cases.
  • Prepare supporting declarations and documentation for court filings.
  • Conduct and review conflicts checks against related parties.
  • Maintain organized case files and manage document workflows.
  • Track and calendar court-mandated deadlines and filing schedules.
  • Provide administrative support and assist with special projects as needed.
  • Generate and populate templates in Microsoft Word.
  • Utilize AI-assisted tools (e.g., document automation, legal research platforms) to enhance workflow efficiency.

Qualifications

  • Associate’s degree or paralegal certificate preferred.
  • Prior experience with bankruptcy court filings and fee applications strongly preferred.
  • Demonstrated proficiency in Microsoft Word, Excel, and Outlook.
  • Familiarity with AI-assisted legal tools is a plus.
  • Strong attention to detail and ability to manage multiple deadlines.
  • Excellent written and verbal communication skills.
  • General understanding of accounting and mathematics.

Availability

Full-time work, Monday–Friday, 8:30 AM–5:30 PM, with flexibility for after-hours work as needed.
