Position Purpose
We are seeking a personable, organized, and proactive Practice Growth & Patient Experience Coordinator to support the continued growth and success of our highly respected oral surgery practice in Bellingham, Washington. Essential Responsibilities And Duties
- Build and maintain positive relationships with referring dental offices and community partners.
- Visit referring offices regularly to strengthen relationships and support practice visibility and referral growth.
- Cover promotional events, educational programs, community events, study clubs, and outreach activities.
- Affiliate with social media updates, online engagement, and website coordination.
- Prepare and distribute marketing materials, educational resources, promotional items, and referral support materials.
- Track referral activity and assist with reporting and growth initiatives.
- Support internal office culture initiatives, employee engagement activities, and office celebrations.
- Affiliate with community outreach and initiatives that enhance the visibility and reputation of the practice.
- Afford assistance to patients with scheduling, insurance coordination, and treatment-related questions to help create a seamless patient experience.
- Support insurance verification and benefit review processes to help ensure accurate treatment estimates and financial communication.
- Afford assistance with treatment plan estimates, patient financial discussions, and coordination of payment options.
- Help support accurate documentation, claims workflow, and patient account processes in collaboration with practice leadership and centralized billing teams.
- Maintain oversight of follow-up related to outstanding patient balances, insurance communication, and operational workflow needs.
- Serve as an important operational partner behind the scenes by helping maintain organized, accurate, and timely administrative and financial workflows.
- Provide exceptional customer service and timely communication throughout the patient experience.
- Maintain accurate referral and outreach records and databases.
- Afford assistance with reporting, documentation, and organizational projects.
- Help ensure marketing materials, supplies, and outreach items are organized and available.
- Afford assistance with front office operations and daily workflow support as needed.
- Collaborate with practice leadership and team members to support a positive and high-performing office environment.
Minimum Qualifications
- 2+ years of experience in healthcare, dental, patient coordination, insurance coordination, treatment planning, marketing, customer service, or related experience preferred.
- Previous dental, oral surgery, specialty healthcare, or insurance coordination experience strongly preferred.
- Strong interpersonal and relationship-building skills.
- Excellent communication and customer service abilities.
- Comfortable discussing insurance, treatment coordination, and patient financial responsibilities professionally and compassionately.
- Highly organized with strong attention to detail and follow-through.
- Ability to balance patient-facing responsibilities with operational and administrative tasks.
- Comfortable working independently while also contributing collaboratively within a team environment.
- Familiarity with social media platforms, digital communication tools, and basic marketing support activities preferred.
- Proficiency in Microsoft Office and general computer skills.
- Valid driver’s license and reliable transportation for local outreach activities.
