About the role

This hybrid role uniquely combines marketing coordination with document management expertise, providing diverse opportunities to contribute to both creative campaigns and the accuracy and compliance of vital documentation. The ideal candidate thrives in a fast-paced environment, enjoys cross-functional collaboration, and is ready to support innovative marketing initiatives while ensuring high standards of document quality.

Responsibilities

  • Marketing Coordination
    • Design and develop creative promotional materials, advertisements, and campaign assets.
    • Assist in crafting and responding to Requests for Proposals (RFPs) and Requests for Qualifications (RFQs).
    • Gather and organize information about Therma’s projects and employees to enhance proposal content.
    • Prepare presentation materials, ensuring the alignment of themes, technical scope, and graphic design.
    • Lead final proposal production, including printing, binding, packaging, and mailing.
    • Maintain a library of project data, including photography, for marketing purposes.
    • Manage social media content and support public relations initiatives.
    • Coordinate corporate events, including trade shows, client appreciation events, golf tournaments, and community outreach projects.
  • Form Creation and Management / Test/Adjust/Balance (TAB) and Documentation
    • Create and edit professional documents in Microsoft Word, Excel, and PowerPoint, ensuring high standards of document presentation.
    • Convert and optimize documents between different formats, primarily focusing on Word, Excel, and PDF.
    • Use advanced PDF tools to edit, annotate, and secure documents when required.
    • Work closely with cross-functional teams (e.g., technical teams, legal, and compliance) to gather necessary content for reports and forms.
    • Provide support for internal document management systems, including the storage and retrieval of documents.

Requirements

  • Experience
    • Bachelor’s Degree in Communications, Marketing, Graphic Design, Business Administration, or a related field (preferred).
    • 3+ years in marketing, graphic design, or a related field.
    • 1-3 years in administrative, document management, or coordination roles.
  • Technical Skills
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
    • Intermediate skills in Adobe Creative Suite (e.g., Photoshop, Illustrator, InDesign, Lightroom).
    • Advanced proficiency with PDF tools such as Bluebeam or Adobe Acrobat Pro.
  • Core Abilities
    • Polished written and verbal communication skills, including strong editing and proofreading expertise.
    • Highly organized with exceptional time-management skills to balance multiple priorities efficiently.
    • A motivated self-starter with the ability to collaborate effectively within a team.
    • Familiarity with document management systems and industry regulations is a plus.
    • Background in safety coordination or knowledge of OSHA guidelines (preferred).

Pay

Hourly pay range: $31-$36 per hour. Actual compensation will be based on skills, experience, and work location, and may vary from the posted range.
