Essential Functions & Responsibilities
- Captures team and project specific details for proposals.
- Assists in the creation of presentations – gathers content/images.
- Coordinates end-to-end production, binding, shipping, tracking, and distribution of all proposal documents to meet deadlines.
- AIA 305 coordination with Proposal & Marketing Manager.
- Coordinates with Proposal & Marketing Manager for project page creation, resume updates, and research.
- Maintains project database.
- Updates digital brochures monthly and provides hard copies upon request.
- Coordinates with Proposal & Marketing Manager and Business Development Manager for short list presentations.
- Coordinates graphic layout, production, and quality assurance on all marketing deliverables.
- Coordinates with Proposal & Marketing Manager for proposal deliverables.
- Coordinates with Proposal & Marketing Manager to manage and organize database for historical proposal information.
- Interviews managers to update project sheets and resumes for project library.
- Drafts content and maintains schedule to update company social media and website weekly.
- Coordinates, drafts, and submits award and recognition submittals.
- Participates in strategic planning sessions for all offices.
- Assists Proposal & Marketing Manager with marketing items for preconstruction bid packages as required.
- Coordinates, drafts, and creates all graphic/ad/collateral/misc branding needs.
- Coordinates with Proposal & Marketing Manager to manage and track marketing budget.
- Tracks and reports on Google Analytics and website traffic for improvements.
Skills, Knowledge, Qualifications and Experience
- Experience in marketing communications in the A/E/C or similar industry.
- Strong technical writing expertise for proposal and marketing materials, including strong proofreading and grammatical skills.
- Working knowledge of MS Office (Word, Excel, PowerPoint, Access).
- High-level knowledge of Adobe Acrobat Creative Suites, specifically InDesign.
- Working knowledge of database management.
- Demonstrated ability to handle multiple projects, stressful situations, and details.
- Proven ability to work with multiple people in a persistent, tactful, enthusiastic manner.
- Bachelor’s degree in Marketing, Communications, Journalism, English, or a related field.
