About the role

The Marketing Operations Coordinator supports the day-to-day operational and administrative functions of PARR’s marketing department. This role is responsible for helping keep the department organized, efficient, and moving forward through project coordination, co-op tracking and invoicing, internal ticket management, SWAG inventory oversight, and general team support.

Responsibilities

  • Work with internal teams to effectively track monthly manufacturer co-op accruals, submissions, reimbursements, and balances
  • Coordinate vendor invoicing, sponsorship billing, and marketing-related payments
  • Reconcile monthly marketing expenses between accounting and internal tracking systems
  • Aid with budget tracking and reporting for promotions, events, and campaigns
  • Maintain organized records of invoices, proof of performance, co-op documentation, and vendor agreements
  • Manage incoming marketing requests through the department ticketing/project management system
  • Help prioritize, assign, and track projects to ensure deadlines are met
  • Cope with communication between internal stakeholders and the marketing team
  • Monitor project timelines, approvals, and deliverables
  • Maintain organized workflows, documentation, and status reporting
  • Track and maintain marketing swag, apparel inventory, and promotional materials
  • Coordinate ordering, distribution, and inventory organization for branded merchandise
  • Support the creation and distribution of marketing event materials
  • Assist with scheduling meetings, coordinating logistics, and supporting departmental operations
  • Gather and organize vendor marketing assets and distribute internally as needed
  • Perform additional administrative or operational support tasks as assigned

Qualifications

  • Associate degree in Business Administration, Marketing, Accounting, or related field preferred
  • 1–3 years of experience in an administrative, operations, coordinator, or support role preferred
  • Prior project coordination, project management software, ticket management, invoicing, bookkeeping, or expense tracking experience preferred, but not required
  • Strong organizational skills with exceptional attention to detail and follow-through
  • Ability to manage multiple tasks and shifting priorities in a fast-paced environment
  • Comfortable using Microsoft Office, Microsoft Teams, and project management software
  • Strong communication and interpersonal skills
  • Ability to work both independently and collaboratively
  • Class C driver’s license or alternative transportation preferred

Working Conditions

  • The primary working conditions are in an office environment with a computer.
  • The schedule is expected to be Monday through Friday, 40 hours per week minimum.
  • Physical Requirements: Ability to sit and/or stand for extended periods of time; ability to work indoors in a normal office environment for an entire day; must be able to operate a computer, smartphone, and office equipment; must be able to occasionally lift/push/pull up to 50 pounds for event or inventory support; occasional local travel may be required.
