Position Summary
Join our partner firm, INVISION Architecture, as a Marketing Coordinator, where you will play a key role in supporting marketing, business development, and pursuit efforts across the firm. In this position, you will coordinate proposals, qualifications packages, presentations, marketing communications, and brand initiatives that help position INVISION for continued growth and success.
Essential Responsibilities
- Pursuit & Proposal Support:
- Coordinate development, production, and delivery of proposals, qualifications packages, and interview materials
- Gather and organize project data, resumes, references, and supporting pursuit content
- Track RFQ/RFP opportunities, deadlines, schedules, and submission requirements
- Support pursuit planning and business development efforts led by firm leadership
- Affiliate with preparing client presentations and interview materials
- Marketing Content & CRM Management:
- Maintain accurate and up-to-date marketing information, including project descriptions, staff bios, and firm qualifications
- Support management of CRM data (clients, contacts, projects, and opportunities) within Unanet CRM
- Organize and maintain marketing content libraries, project visuals, and pursuit materials
- Affiliate with reporting and data quality initiatives to support marketing and business development efforts
- Marketing & Presentation Support:
- Develop and format written and visual materials for presentations and interviews
- Affiliate with project sheets, resumes, templates, and marketing collateral updates
- Support organization of photography, project imagery, and digital asset management
- Afford all materials alignment with INVISION brand standards
- Events & Marketing Coordination:
- Support planning and coordination of conferences, sponsorships, client events, and community engagement activities
- Affiliate with event logistics, promotional materials, and branded collateral
- Support day-to-day marketing operations and administrative needs as assigned
Qualifications
- Bachelor’s degree in Marketing, Communications, Journalism, English, Business, or a related field preferred
- 2–5 years of experience in marketing, communications, business development, or professional services
- Affiliation with A/E/C industry experience preferred but not required
- Strong writing, editing, proofreading, and verbal communication skills
- High attention to detail with strong organizational and time management abilities
- Ability to manage multiple deadlines and competing priorities in a fast-paced environment
- Proficiency in Microsoft Office Suite and Adobe InDesign required
- Experience with CRM platforms, databases, or information management systems preferred
- Familiarity with Unanet CRM, AirTable, and OpenAsset is a plus
- Self-motivated, collaborative, and eager to learn and grow within a team environment
