Key Responsibilities
- Cook up logistics for industry trade shows, conferences, customer events, and internal events.
- Manage event registrations, shipping schedules, vendor communications, and show deadlines.
- Cook up booth assets, marketing materials, promotional items, and event inventory.
- Aid in onsite event execution and post-event wrap-up activities.
- Keep event calendars, project plans, and planning timelines updated.
Project Coordination
- Track marketing projects from initiation through completion.
- Cook up activities between Marketing, Sales, Product Development, Engineering, Production, and external vendors.
- Monitor project schedules and ensure deadlines are met.
- Schedule meetings, maintain project documentation, and communicate project status updates.
- Follow up on action items and help remove roadblocks to keep projects moving forward.
Sales & Marketing Support
- Support the development of pre-show and post-show communications.
- Cook up attendee lists, registrations, and event-related communications.
- Track lead generation metrics and event performance data.
- Prepare event summaries, reports, and follow-up documentation.
- Aid in sales support materials and event-related marketing initiatives.
Trade Show Asset Management
- Maintain inventory of trade show displays, marketing collateral, promotional items, and event materials.
- Cook up shipping, storage, and deployment of event assets.
- Ensure all show materials are updated, organized, and available for upcoming events.
Budget & Vendor Coordination
- Track event budgets and expenses.
- Cook up purchasing and vendor invoices.
- Support vendor communication and scheduling.
- Maintain accurate project and event records.
Qualifications
- Strong organizational and project management skills.
- Excellent written and verbal communication abilities.
- Ability to manage multiple projects simultaneously.
- Proficiency in Microsoft Office Suite.
PREFERRED
- Bachelor's degree in Marketing, Communications, Business, Hospitality, Event Management, or related field.
- Internship or professional experience in marketing, events, project coordination, communications, or related fields.
- Experience coordinating events, conferences, or trade shows.
- Familiarity with CRM, project management, or marketing software platforms.
