About the Role

The Marketing Coordinator – Conferences and Sponsorships supports top-of-funnel education marketing initiatives by planning and executing conferences, sponsorships, and related partnerships. This role manages an assigned portfolio of events from contracting through post-event follow-up, produces conference-specific marketing assets, and collaborates with sales teams, marketing leadership, association partners, vendors, and internal stakeholders. Success requires independent execution, strong project management, attention to detail, and the ability to manage multiple events and design requests at different stages.

Responsibilities

  • Sponsorship and Association Management
    • Negotiate with association partners to maximize sponsorship value, including lead-generation opportunities, brand visibility, speaking opportunities, and attendee engagement.
    • Manage sponsorship agreements, deliverables, deadlines, and contractual requirements for an assigned portfolio.
    • Coordinate with association contacts, vendors, speakers, and internal stakeholders throughout planning and execution.
    • Confirm fulfillment of all contracted sponsorship benefits and document outstanding deliverables.
    • Support evaluation of conference and sponsorship opportunities based on cost, audience, lead potential, and alignment with business priorities.
  • Conference Planning and Execution
    • Manage the full lifecycle of an assigned conference portfolio, including contracting, registration, booth logistics, shipping, vendor coordination, materials, technology, staffing, and post-event follow-up.
    • Serve as the primary marketing point of contact for assigned conferences.
    • Develop and maintain event timelines, checklists, budgets, and documentation.
    • Coordinate booth orders, furnishings, signage, giveaways, books, printed materials, lead-capture tools, and other event needs.
    • Support conference speakers and presenters with deadlines, materials, logistics, and association requirements.
    • Communicate conference plans, responsibilities, deadlines, and policies to sales representatives and internal participants.
    • Identify risks or gaps early and collaborate with stakeholders to resolve them.
    • Provide remote or on-site event support as required.
    • Reconcile event expenses and track spending against approved budgets.
  • Lead Capture and Post-Conference Follow-Up
    • Set up and manage lead-capture processes for assigned conferences.
    • Train and support sales representatives and internal participants on lead-capture tools (e.g., Mobly).
    • Confirm accurate and timely capture, review, and transfer of conference leads.
    • Coordinate with sales and demand-generation partners on lead handoff requirements.
    • Track and report lead volume, contact capture, event participation, and other outcomes.
    • Maintain accurate records of event results, lessons learned, and follow-up actions.
  • Conference Asset Design and Production
    • Design and produce conference and sponsorship materials, including booth graphics, one-pagers, handouts, signage, presentation materials, digital ads, and promotional graphics.
    • Create assets using Adobe Creative Suite and Adobe Express while adhering to FranklinCovey and Education division brand standards.
    • Adapt existing materials for different audiences, formats, events, sponsorship requirements, and production specifications.
    • Prepare files for print and digital production, ensuring correct sizing, formatting, resolution, and vendor specifications.
    • Develop reusable templates for common conference and sponsorship materials.
    • Maintain an organized library of current conference assets, templates, source files, and archived materials.
    • Manage asset revisions and version control across concurrent events.
    • Collaborate with the Marketing Manager, Product & Brand on brand-sensitive or out-of-scope design needs.
  • Travel
    • Ability to travel for events, including conferences, as needed.

Requirements

  • 2+ years of experience in conference marketing, event coordination, sponsorship management, graphic design, or a related role.
  • Experience creating print and digital marketing assets.

Preferred Qualifications

  • Experience managing events or projects with overlapping timelines.
  • Proficiency in Adobe Creative Suite and/or Adobe Express.
  • Strong written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage budgets, deadlines, logistics, and deliverables with limited supervision.
  • Ability to work collaboratively with sales representatives and cross-functional teams in a remote environment.
  • Experience managing conferences and sponsorships from contracting through post-event reporting.
  • Experience negotiating sponsorship packages, vendor agreements, or association benefits.
  • Experience managing conference budgets and reconciling event expenses.
  • Experience with conference lead-capture platforms.
  • Familiarity with print-production requirements, booth graphics, signage, and exhibit vendors.
  • Experience working within established brand standards.
  • Experience in the PK–12 education market or with education associations.

Pay

Anticipated compensation for this position is $55,000–$75,000 per year.

*Actual offer may vary based on education, experience, knowledge, skills, abilities, geographic location, internal equity, and market data.

Schedule

  • Full-time, exempt position.
  • Remote – anywhere in the contiguous U.S. (preference for EST or UT time zones).
