About the Role

The Marketing Coordinator will play a key role in executing our marketing strategy, enhancing visibility, and maintaining relationships with key stakeholders. This is not a traditional creative copywriting or social media curation role; instead, this position sits at the intersection of marketing operations, project management, and event logistics. They are a key member of a highly collaborative team committed to driving impact, continuous improvement, and a positive team culture within Baszucki Group and its affiliated family office. The Marketing Coordinator is a full-time, non-exempt position and will report to the Senior Program Associate.

Responsibilities

  • Marketing Operations & Salesforce Administration
    • Act as the primary operational support for Salesforce CRM within the marketing department, ensuring continuous data hygiene, lead routing accuracy, and clean contact segmentation.
    • Build, track, and monitor marketing campaigns within Salesforce to ensure accurate source attribution and ROI pipeline reporting.
    • Own the end-to-end technical setup, audience list segmentation, and deployment of marketing emails within Salesforce, ensuring data hygiene and strict compliance with email deliverability regulations.
    • Pull and format weekly and monthly marketing performance reports, translating data trends into actionable insights for the management team.
    • Coordinate data transfers, list uploads from external events, and integrations between Salesforce and auxiliary marketing tech tools.
    • Coordinate with external vendors to ensure that scheduled social media copy and assets are reviewed, ensuring alignment with brand voice, campaign objectives, and tracking URL accuracy prior to deployment.
  • Conference & Event Logistics
    • Own the end-to-end physical and digital logistics pipeline for all industry conferences, trade shows, and field events.
    • Coordinate vendor relationships, negotiate contracts under leadership guidance, and manage timely procurement for booths, AV infrastructure, catering, and venue spaces.
    • Manage the relationship with third-party storage vendors responsible for housing, tracking, and maintaining event assets, including swag, printed materials, booth hardware, and other conference supplies.
    • Oversee the design, production, inventory tracking, and global shipping of promotional collateral, booth hardware, and custom swag.
    • Manage the event registration, attendee communications, staff scheduling, and post-event attendee follow-up pipelines.
    • Provide on-site operational support during key annual events, managing setup timelines, troubleshooting technical glitches, and acting as the main point of contact for external venues.
  • Project Management
    • Support as an operational air traffic controller for the marketing department, utilizing project management platforms, such as Asana, to track all active campaign assets, timelines, and cross-functional tasks.
    • Streamline documentation by maintaining the centralized marketing asset repository, standard operating procedures (SOPs), and centralized event playbooks.
    • Support internal communications by sharing meeting notes, documenting key decisions, tracking follow-up items, and ensuring relevant stakeholders have visibility into project status and next steps.

Qualifications

  • Bachelor's degree and 2 years of relevant experience in marketing coordination, marketing operations, or project management.
  • Excellent written and verbal communication skills, with a knack for storytelling and attention to detail.
  • Experience managing social media platforms and familiarity with digital marketing tools (e.g., Sprout Social, Mailchimp, Google Analytics).
  • Hands-on experience utilizing Salesforce CRM and Salesforce MCAE.
  • Strong organizational skills and ability to manage multiple projects with competing deadlines.
  • Proven ability to prioritize and work with a variety of stakeholders and meet deadlines.
  • Proficiency in Google Workspace and project management tools (e.g., Asana and Notion) is a plus.
  • Strong interest in philanthropy and/or nonprofit sector as evidenced through education, previous jobs and/or volunteer experience.
  • Excellent interpersonal skills.

Location

This position is based in our San Mateo office. Candidates must reside in the San Francisco Bay Area and are expected to work in the office two to three days per week.

The target starting salary range for this position is $85,000-$105,000 annually. The salary range is a good faith estimate of the anticipated salary expected for this position, and the final offer will be based on the candidate's skills, qualifications, and prior experience relative to the role's requirements.
