Customer Service
- Establish relationships with customers and resolve complaints satisfactorily, seeking supervisor approval when necessary.
- Enter and maintain order files, submit shipping documentation, and communicate order confirmations, changes, and cancellations.
- Track and communicate changes to plant delivery schedules and address any service issues.
- Prepare and submit Delivery Receipts for billing and Credit Memos for customer issues.
- Generate and track necessary reports for Plant Management and customers, including inventory and open order reports.
- Process plant claims for shortages, quality issues, and miscellaneous items.
Production Support
- Print work orders and compile data from multiple sources into spreadsheets and Powerpoint presentations.
- Coordinate orders and schedules with carriers, ensuring correct work order release and resolving any issues promptly.
- Perform hands-on tasks on the production floor, confirming packing lists and updating QAD inventory as needed.
- Print and collect BOLs, complete inventory cycle counts, and sign for packages and visitors.
Accounts Payable
- Code and enter invoices, complete 3-way matches, and resolve errors with receipts.
- Maintain records and prepare documents for month-end accruals.
- Communicate payment information to vendors and restock breakrooms and office supplies.
- Conduct pre-employment drug tests and assist with new hire onboarding.
- Phone screen candidates and help coordinate job fair events.
Human Resources
- Track and coordinate plant celebrations and order lunches/dinners for trainings and guest visits.
- Assist supervisors, managers, and HR Generalists/Managers with PTO/vacation requests and HR-related inquiries.
- Conduct pre-employment mouth swab drug tests and assist with new hire onboarding.
- Help coordinate and schedule onsite job fair events.
- Conduct administrative duties as assigned by HR Generalist/Manager.
Requirements
- High School diploma/GED, with an Associate or Bachelor’s degree preferred but not required.
- Minimum of 5-7 years’ Office Administrative experience.
- Basic to above-average computer skills, including Microsoft Office Suite and Excel.
- Ability to perform basic quantitative skills and CRM experience preferred.
- Professional verbal and written communication skills.
- Bilingual English/Spanish a plus but not required.
Physical Requirements
- Ability to sit and stand for extended periods.
- Ability to lift up to 35 lbs occasionally.
- Ability to wear all safety PPE required such as steel-toed shoes and earplugs.
- Ability to work in a non-climate-controlled environment, including temperatures in Spring/Summer of 90+ degrees.
