Here's a Summary Of Responsibilities Under the supervision of the Director,SummerGames, and in collaboration with the Games Operations team, the Manager willdevelop and manage the strategic preparation and execution of the sport and logistical operations for the Youth Summer OlympicGames andsupportthe strategic planning and operational delivery of key initiatives for the Summer Olympic Games.The Manager will manage multiple projects that involve external stakeholders and internal cross-functional partners.This position will manage and/or support sport entries, site visits, NGB and internal functional area Deliverables, logistical planning, Village(s) planning, and communication with key stakeholders.This position plays a critical role in ensuring the operational readiness of Team USA delegations while supporting the broader objectives of the Olympic and Paralympic Movements.The Manager will contribute to overall planning and implementation of Games Operations department priorities. Here’s How You’ll Have An Impact Develop and manage the planning and execution of the sport and logistical operations for the Youth Summer Olympic Games.Contribute tothe planning andexecutionofsportandlogistical operations for theSummerOlympicGameswith a focus on supporting NGBs and assisting USOPC staff.Assist the Director with the above tasks as requested.Provide Games planning expertise tothe Pan American Games andSummerParalympic Gamesteams, with a focus on sharing best practices, tools, and operational insights from Olympic planning.Managethe Sport Entries and Late Athlete Replacement (LAR) process for theSummerOlympicGamesandYouthSummerOlympic Games.Determine the Sport Entry process tocollect relevant data fromNational Governing Bodies (NGBs), if not provided bythe OrganizingCommittee (OCOG). Manage the distribution and collection of completed and signed forms to/from NGBs, collaborating withGames Operationsteam to integrate existing Games Registration data to streamline processes for NGBs.Per USOPC approved athlete nomination dates, and upon final verification from each NGB, collect and upload relevant data from NGB to submit final Team USAsport entries forms into OCOG’sGames Management System (GMS), collaborating with OCOG Sport Entry (SEQ) and Accreditation (ACR) teams.Coordinate distribution of the official Team USA roster with internal partners in Communications, Athlete Services, and Sport Performance.Manage Late Athlete Replacementprocess with expertiseon thesport-specific guidelines and relevant deadlines. Communicate any official Team USA roster changes with internal partners.Build working knowledge of selection procedures and qualification systems and their impact on the sport entries process.Lead the planning and execution ofsite visits for upcoming Games.Collaborate with Games Operations,Summer Sport team, Logistics, NGBs, and otherrelevant stakeholderstodetermine objectives,timeframes, and budgetsfor each site visit.Work with theOrganizingCommittee(s), NGBs, relevant departments, and local entities to create an itineraryfor each site visit.Secure local/expert contractors to provide support on the ground,as needed.Determineplans and logistics for allhousing, transportation,andmeal needs.Partner with Logistics to securebookings in-country.Accumulate and create after-action reportsfor each site visit, presentingthe reports as requestedto relevant stakeholders.Liaise and communicate with designated NGBs to provide and collectlogistics, performance, and travelinformationfor their teams,including but not limited toaccreditation, accommodations, air travel (including arrivals and departures), apparel, ground transportation, billbacks and special grants, shipping and freight, and rate cards. Provide information to USOPC departments,as needed.Delegate appropriate communications and data tracking tasks to theSummer GamesCoordinator, while serving as the escalation point for complex or sensitive matters.Analyze and improve operational processes, leveraging feedback from pre- and post-Games evaluations.Collaborate with the Games Director and cross-functional partners to shape the NGB Games Planning Strategy andthequad timelinefor the Summer Olympic Games, with a focus on aligning operational goals with delegation priorities.LeadDeliverables/Games Planningmeetings, includingdetermining frequency andmeeting agendas, scheduling meetings, preparingFunctional Arealeadsfor meetings, creating materials, collecting data, and assisting with follow-up items.Establish and maintain appropriate communication channels for NGBsand relevant USOPCdepartmentsto includeGames presentations,resourcematerials(e.g., iGames,SharePoint, etc.), webinars,emails,and other communications andupdatesfor stakeholders as needed.Create, update,and monitoraKeyDates/Deadlinesdocument foriGamesfor the USOPC and NGBs.ManageGamesqualificationinformationby trackingselection procedures nomination dates,quotas earned, qualified athletes,and other qualification data(e.g., IF confirmation, etc.).Assist with the bid process for external contractors as needed. Work with internal departments and external stakeholders, providing timely communication and follow-through.In collaboration withthe Games Director and internal USOPC partners,manageOlympic Village housing, including but not limited to working with NGB partners through the initial allocation process and hand-off to Village Housing Lead prior to Games as necessary.Outline and orchestrate theRate Card process and ordering forrelevant Games. Distribute relevant information, including follow-up, to NGBs and internal departments. Collaborate with Sport Performance team to collect orders and submit delegation orders.Monitor submission, fulfillment,andpayment.Manage Games Operations budget for designated projects, ensuring alignment with financial and operational priorities.Oversee development, ordering, and distribution of commemorative items for Games, including coins, apparel, certificates, etc.Serve in Games-time leadership roles as assigned, including operational oversight of key functional areas while on the ground or remotely. Lead assigned teams or working groups during Games preparation and execution phases.Provide expertise and problem-solving support to address challenges during Games-time execution.Partnerwith Games Operationsleadershipteamand other relevant stakeholderstodevelop and deliverGames Staff Training, Games 101/Playbooks, and other projects as needed.Perform other duties as assigned.
