Core Responsibilities
- Manage detailed event timelines, task lists, and production schedules.
- Draft run-of-show documents and day-of execution plans.
- Cover registration, volunteers, staffing, and on-site logistics.
- Maintain accurate Salesforce records for sponsorships, guests, RSVPs, pledges, and payments.
- Support reporting and data needs for Development and Finance teams.
- Implement sponsorship benefits and recognition across event materials.
- Track fulfillment to ensure commitments are met accurately and on time.
- Cover marketing and communications logistics, including invitations, save-the-dates, event websites, and printed materials.
- Support sponsor recognition and event signage.
- Serve as a key contact for vendors and suppliers.
- Track deliverables and timelines to ensure smooth execution.
- Cover load-in, load-out, and event-day logistics.
Education And Experience
- Bachelor’s degree preferred.
- 4–6 years of experience in event coordination, development operations, or project management.
Required Skills
- Ability to build and sustain relationships with funders, internal stakeholders, and external partners.
- Strong verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities and adapt to changing needs.
- Ability to use data, reporting, and CRM tools to guide strategy and monitor partnership performance.
Physical Requirements
- Prolonged periods sitting or standing at a desk and working on a computer.
- Ability to operate general office equipment.
- Ability to travel.
