Job Summary
The Groups & Event Services Manager is responsible for the successful planning, coordination, servicing and execution of all contracted group business, meetings, incentive programs, executive retreats, luxury weddings and special events at One&Only Moonlight Basin.
Key Duties & Responsibilities
- Serve as the primary point of contact for meeting planners, incentive houses, wedding planners and group organizers throughout the planning process.
- Build trusted client relationships through proactive communication, responsiveness and thoughtful planning.
- Coordinate all logistical aspects of meetings, incentive programs, executive retreats, luxury weddings, social events and resort buyouts.
- Develop comprehensive planning timelines and ensure all contractual deadlines are achieved.
- Prepare and maintain detailed Group Resumes, Banquet Event Orders (BEOs), Event Specifications and all operational documentation.
- Maintain accurate group information within Delphi and Opera Cloud throughout the planning process.
- Coordinate rooming lists, VIP arrivals, welcome amenities, transportation, billing instructions and special requests.
- Coordinate audiovisual requirements, entertainment, décor, vendor access, room sets and overall event logistics.
- Coordinate resort experiences including spa appointments, outdoor adventures, skiing, golf, KidsOnly programming, dining reservations and recreational activities.
- Guide clients through menu selections, room setups, event flow, guarantees and operational requirements.
- Ensure all event documentation accurately reflects client expectations and is distributed to operational departments within established timelines.
- Monitor room block pickup and communicate changes or concerns regarding rooming lists, cut-off dates and attrition with Sales, Revenue Management and Reservations.
- Partner proactively with resort operational departments throughout the planning process to ensure every aspect of the guest experience is thoughtfully coordinated and executed to One&Only luxury standards.
Operational Leadership & Communication
- Lead Group Resume and BEO Meetings, Pre-Convention Meetings and Group Arrival Meetings.
- Participate in Daily Operations Meetings and other planning meetings as required.
- Serve as the central communication link between clients and resort operations.
- Ensure all operational departments clearly understand group expectations, event timelines, VIP requirements and service standards.
- Proactively identify potential operational challenges and implement solutions prior to guest arrival.
On-Site Event Execution
- Welcome group clients upon arrival and serve as the primary on-site contact throughout the program.
- Congduct regular client touchpoints during each program to ensure complete satisfaction.
- Attend key meetings, functions and events throughout each program.
- Coordinate VIP arrivals and oversee all group movements throughout the resort.
- Partner with department leaders to ensure flawless execution of all events and resort experiences.
- Resolve guest concerns promptly while maintaining One&Only luxury service standards.
- Anticipate guest needs and create memorable moments through thoughtful, personalized service.
Financial & Administrative Responsibilities
- Coordinate deposits, billing instructions and payment schedules with clients and Finance.
- Review master accounts throughout each program to ensure billing accuracy.
- Finalize all post-event billing and reconcile outstanding balances.
- Maintain accurate forecasting information within Delphi.
- Prepare reports relating to upcoming groups, event activity and banquet revenue.
Collaboration
- Partner closely with the Sales team to ensure a seamless transition from contracting to planning.
- Provide operational feedback to Sales that supports future business opportunities.
- Foster strong working relationships across all resort departments to ensure exceptional communication and flawless execution.
- Support the Director of Sales & Marketing with additional projects and departmental initiatives as required.
Skills, Experience, & Educational Requirements
- Minimum of 3 to 5 years of experience in Conference Services, Event Management or Luxury Resort Operations.
- Bachelor's degree or equivalent qualification in Hospitality Management, Business Administration or a related field preferred.
- Previous experience in a Forbes Five-Star or luxury hospitality environment preferred.
- Proven experience servicing corporate meetings, incentive travel, executive retreats, luxury weddings and social events.
- Strong knowledge of Delphi, Opera Cloud and Microsoft Office Suite.
- Excellent written, verbal and interpersonal communication skills.
- Strong organizational, planning and project management skills.
- Exceptional attention to detail with the ability to manage multiple priorities simultaneously.
- Financial acumen including budgeting, forecasting and billing reconciliation.
- Ability to remain calm and solutions-oriented in a fast-paced luxury environment.
- Ability to work flexible hours, including evenings, weekends and holidays as business demands.

- Working in outdoor environments, including high altitudes, that may present extreme weather conditions such as snow, ice, rain, heat, wind, etc.
