About the role
The Manager, Meetings & Events plans and executes HPBA's portfolio of events, including aspects of our national trade show. This role combines event logistics, contract negotiation, venue sourcing, vendor management, and on-site leadership to deliver exceptional member experiences.
Responsibilities
- Plan and manage logistics for HPBExpo, in-conjunction-with events, and association events, including receptions, industry events, and executive and board meetings.
- Serve as on-site lead during major events and meetings.
- Lead vendor and contract management, ensuring smooth execution of events.
- Manage venue sourcing and negotiate contracts to secure optimal locations and services.
- Oversee vendor relationships, ensuring quality and timely delivery of services.
- Coordinate with internal teams and external vendors to ensure seamless event execution.
- Handle unexpected issues on-site, maintaining event integrity and attendee satisfaction.
Requirements
- Proven experience in event planning and management.
- Strong organizational skills and ability to manage multiple projects simultaneously.
- Excellent communication and interpersonal skills, with the ability to build and maintain strong relationships.
- Experience with contract negotiation and vendor management.
- Ability to handle high-pressure situations and tight deadlines.
- Knowledge of event planning software and tools.
Qualifications
- Bachelor’s degree in Event Management, Business Administration, or related field.
- Minimum of 5 years of relevant experience in event planning and management.
- Experience with large-scale events and conventions.
- Proficiency in Microsoft Office Suite and event planning software.
