Maintenance Supervisor

About the role

The Maintenance Supervisor supports the Operations Manager by overseeing daily maintenance operations, ensuring 24/7 coverage, and minimizing equipment downtime through effective planning, scheduling, and personnel management. This role coordinates maintenance activities across production, service teams, contractors, and vendors while maintaining strict compliance with safety, quality, and regulatory standards.

Responsibilities

  • Aid the Operations Manager with general maintenance operations.
  • Manage 24-hour operations to ensure each shift is supported with maintenance personnel with appropriate skillsets to minimize any downtime event.
  • Review employee time daily and approve weekly in Kronos to ensure all maintenance personnel are paid correctly.
  • Ensure the maintenance staff has at least one formal annual performance review with additional coaching as necessary.
  • Work with HR on the use of TOPPAN’s disciplinary process/procedures as necessary to address any behavioral concerns.
  • Ensure maintenance employees complete required safety, quality, and maintenance training as scheduled.
  • Cook up between production personnel and maintenance, service, and contract personnel to plan maintenance and capital work being performed within the facility.
  • Enter all work orders into the maintenance planning system, designate the work to the proper maintenance, service, or contract personnel, and then issue work orders or purchase orders to proper group.
  • Insure inspections, PMs, work orders, etc. to the proper resource making sure they are complete, logged, and filed appropriately (all inspections and PMs are to be performed on the prescribed schedule).
  • Research work coming in to the maintenance department, and, if necessary, procure any engineering or material prior to issuing work.
  • Maintain proper communication with vendors to assure proper parts and quantities of parts are procured.
  • Retain accurate and current inventory logs.
  • Assure timely parts and material procurement in order to facilitate timely completion of jobs and to maintain proper inventories - spare parts.
  • Maintain proper communication with contractor and service personnel to assure assigned work is completed properly and on time.
  • Understand and properly apply all safety rules, regulations and procedures including proper personal protective equipment and safe manufacturing practices.
  • Generate maintenance reports (i.e. Downtime, PMs completed, WOs completed, Safety WOs Status, etc.). Retain reports and records for Toppan engineering OSHA, EPA, and insurance compliance purposes.
  • Maintain logs, records, and files for permits and training regarding lockout/tagout, confined space entry, hot work, etc.
  • Perform general mechanical, electrical, electronic, and instrumentation troubleshooting, repair, and maintenance as required.
  • This position requires flexibility in work hours to support operational and business needs. Supervisors are expected to work beyond their normal schedule when necessary, including early morning, evening, overnight, weekend, and holiday coverage, as well as providing support on off-shifts.

Requirements

  • Minimum Associate of Applied Science degree or work-related training relative to the maintenance planner position.
  • Minimum of ten years experience working in maintenance with an additional five years experience as a maintenance supervisor or planner.
  • Computer literate - including experience with a computerized maintenance management system (CMMS) as well as Windows-based programs (i.e. Word, Excel, Access, Visio etc.).
  • Ability to lead maintenance personnel.
  • General understanding of electrical, instrumentation, and mechanical equipment maintenance requirements.
  • Able to troubleshoot equipment problems accurately and effectively.
  • Understanding of national codes pertaining to industry.
  • Ability to communicate and organize effectively.
  • Ability to train others in the field of maintenance and safety.
  • Demonstrate willingness to be a team player.
