About the role
Dexterra is seeking an experienced Maintenance Administrator to report to the Maintenance Manager at a large-scale workforce accommodation site of 500-4000+ rooms. This role is responsible for planning, coordination, and scheduling of maintenance activities for all facets of Dexterra, the workforce accommodation facility, and its assets. The Maintenance Planner enhances the productivity and work quality of the site services team through effective planning, coordination, and scheduling of resources, including personnel, materials, equipment, and contractor services.
This position interfaces with clients, maintenance and hospitality management, the Dexterra purchasing team, and third-party vendors. It is an onsite role operating on a rotational schedule (e.g., 14 days on / 14 days off, 21 days on / 10 days off, or 28 days on / 14 days off). While on rotation, meals and accommodations are provided, along with travel support as required. This position is safety-sensitive and requires drug, alcohol, and fit-to-work testing as a condition of employment.
Responsibilities
- Facilitate and administer all day-to-day maintenance planning activities, including receiving work requests from client departments and determining whether Dexterra personnel or contractors should perform the work.
- Assign priority to work orders by gathering input from key stakeholders to create maintenance schedules.
- Coordinate labor resources, equipment, parts, and materials to support breakdown, preventative, predictive, and condition-based maintenance.
- Advise management of the status of work in progress and potential operational problems to ensure resources are provided as needed.
- Coordinate with Maintenance Superintendents, Camp Managers, and maintenance personnel to determine appropriate preventive maintenance levels.
- Identify assets for preventive maintenance based on location and other attributes in the Computerized Maintenance Management System (CMMS).
- Create work orders, determine schedules/due dates, and ensure they are properly closed and up to date.
- Analyze completed preventive maintenance result data to refine asset inspection plans for the following year.
- Perform cost analysis on preventive maintenance activities to support the budgeting process.
- Provide solutions to planned scheduling conflicts and ensure scheduling deadlines are met.
- Work with Maintenance Superintendents and personnel to assess progress and discuss scheduling changes.
- Stabilize the schedule to promote operational efficiency and effectiveness.
- Continuously improve tasks by incorporating feedback from work execution processes.
- Identify and implement planning system and process improvements.
- Utilize the CMMS to produce standard reports on maintenance key performance indicators.
- Assist Maintenance Superintendents with acquiring third-party quotes, preparing estimates, and collecting/submitting billing information.
Requirements
- Post-secondary diploma or degree, Journeyman tradesperson certification, or a combination of relevant work experience.
- Industry knowledge and familiarity with camp facilities and equipment.
- Excellent working knowledge of at least one CMMS system (e.g., Maintenance Connection or Maximo) and database applications (asset).
- Proficient with MS Office programs.
- Ability to lead meetings.
- Strong planning, prioritization, and execution skills.
- Strong problem identification and resolution skills.
- Valid driver’s license and flexibility to travel.
