Key responsibilities and tasks

  • Ensure all ISF and Customs Clearance requests are sent to the assigned customs broker timely and accurately.
  • Ensure all shipments are delivered on time, within scope, and within approved budgets.
  • Proactively identify potential disruptions and implement corrective actions to maintain project performance.
  • Serve as a key point of contact for customers, building strong, long-term relationships.
  • Attend client meetings, provide performance updates, and ensure alignment with customer expectations and contractual obligations.
  • Collaborate with suppliers, carriers, agents, and internal departments to ensure seamless execution.
  • Maintain customer booking reports by monitoring and managing all incoming shipments.
  • Analyze transportation costs and implement cost-control strategies to optimize profitability.
  • Approve and review freight invoices, resolve discrepancies, and ensure accurate billing to clients.
  • Contribute to pricing strategies and support commercial opportunities where applicable.
  • Oversee preparation and accuracy of all shipping documentation, including bills of lading, arrival notices, delivery orders, invoices, and supporting documents.
  • Ensure compliance with international trade regulations and company policies.
  • Monitor Key Performance Indicators (KPIs) and drive continuous improvement initiatives to enhance service quality and operational efficiency.
  • Provide support to the team ensuring coverage on assigned projects is met.
  • Foster a collaborative, performance-driven team environment.
  • Ensure accurate and timely entry of project data into company systems.
  • Generate and present performance reports to leadership and clients.
  • Maintain comprehensive documentation for audit and compliance purposes.
  • Other duties as assigned.
  • Qualifications and competencies

    • Demonstrated ability to independently manage complex, multi-stakeholder projects.
    • Exceptional communication and interpersonal skills, with the ability to build strong relationships with internal teams, customers, and vendors.
    • Strong organizational, decision-making, and time management abilities, with a focus on prioritizing tasks effectively.
    • High attention to detail and accuracy in all aspects of work.
    • Ability to perform under pressure and meet tight deadlines in a fast-paced, customer-focused environment.
    • Strong analytical and problem-solving capabilities.
    • Proficient in both verbal and written communication, ensuring clear and professional interaction with internal and external stakeholders.
    • Proven experience in project logistics, freight forwarding, or ocean transportation management.
    • Proficiency in Microsoft Office, such as Excel.
    • Experience with transportation management systems (TMS) and logistics platforms.
