About the role
We are looking for an on-site Office Administrator who is highly organized with strong interpersonal skills to support daily site administrative and financial functions.
Responsibilities
- Process purchase orders and handle purchasing of office and general supplies to maintain appropriate inventory levels
- Support accounts payable and accounts receivable activities, including invoice processing and tracking
- Aid in billing processes and basic financial reporting
- Assist with month-end close, including documentation and reconciliations
- Maintain accurate records and ensure documentation is filed and organized properly
- Welcome and assist visitors, vendors, and internal team members
- Coordinate meetings and events, including scheduling, ordering meals, and managing invitations
- Maintain office organization and support workplace standards, including 5S principles
- Provide general administrative support to site leadership and cross-functional teams
Requirements
- High school diploma or equivalent required
- 2+ years of office administrative experience (distribution or warehouse environment preferred)
- 1–2+ years of experience supporting accounts payable, accounts receivable, or general bookkeeping
- Basic understanding of financial processes such as invoicing and purchase orders
- Working knowledge of ERP systems (SAP or similar) preferred
- Strong organizational skills with attention to detail
- Ability to prioritize tasks and manage time effectively
- Associate or bachelor’s degree in business, accounting, or related field is a plus
