About the Role
Oversee daily general office operations, including coordinating the office environment, maintaining supplies, and supporting fleet management administration, projects, and marketing as needed.
Responsibilities
- Ensure the office operates efficiently by performing tasks such as ordering supplies, scheduling equipment maintenance, greeting visitors, coordinating workstation setups, and onboarding new hires.
- Foster employee engagement through local office events, trainings, wellness initiatives, recognition programs, and reminders for annual activities like benefits enrollment and engagement surveys.
- Resolve general office-related questions, including timesheet matters.
- Support office IT needs, including computer replacements, asset inventory, and recycling old computers.
- Maintain local, state, and federal employment law compliance, such as updating employment law posters.
- Assist project managers with coordination, documentation tracking, project status updates, and report drafting.
- Provide administrative support for marketing materials, including formatting presentations and proposals.
- Participate in the annual budget request process for regional fleet ordering.
- Support fleet management through tasks like reviewing and approving vehicle rentals, processing purchase orders and invoices, ensuring DOT compliance, and tracking vehicle movements and inspections.
- Serve as the point of contact for fleet vehicle registration, maintenance scheduling, and vehicle accessory upgrades (e.g., strobe lights, backup alarms, toolboxes).
- Assist in reviewing local office performance on cost factors like asset utilization, fuel card issuance, and preventative maintenance compliance.
- Support the administration of the vehicle/equipment telematics program.
- Follow safety rules, guidelines, and standards; participate in pre-task planning and report safety concerns to management.
- Perform other duties as assigned.
Requirements
- High school diploma or equivalent.
- Minimum 1 year of administrative experience.
- Valid driver’s license with acceptable violation history may be required.
