About the role
The Special Events Logistics Manager provides administrative support to the Sales Department, including the Senior Sales Manager and Sales Managers, and performs special projects as delegated by the Director of Sales. This role is responsible for the execution, servicing, and detailing of assigned events once booked by the Special Events Department, ensuring a smooth and efficient process from the Special Event Order (SEO) to the actual operation of the function. The Logistics Manager works closely with the Special Events Team in contract negotiations and servicing groups while acting as a liaison between Special Events and the Operations team.
Responsibilities
- Responsible for execution, servicing, and detailing of assigned events once booked by the Special Events Department.
- Provides administrative support and assistance to the Special Events Sales Team, including distribution of all internal and external correspondence and maintenance of departmental files.
- Assists department team members with Information Systems support.
- Coordinates all aspects of operational set-up and break-down of events, including equipment needs, rental needs, and station set-up.
- Coordinates with the Production department on all production aspects needed for an event.
- Acts as a liaison between the client and Live Nation Team Members throughout the event.
- Maintains a neat, clean, and well-groomed appearance according to venue standards.
- Conducts Event Pre-Shift with Operations Managers and communicates event specifics at Team Member Pre-Shift.
- Ensures seamless transition for the client from the Sales Department to the Operations Manager during the event.
- Handles all aspects of the Special Event once the Special Event Order (SEO) has been distributed.
- Interacts with clients, conducts site inspections, and walk-throughs as requested by Sales Managers or the Director of Sales.
- Assists Sales Manager(s) with special client needs.
- Participates in meetings such as the SEO Meeting and Production Meeting.
- Works varying schedules to reflect the business needs of the venue.
- Maintains files in proper order after the SEO has been distributed.
Accounting Functions
- Processes all deposits and payments in a timely manner.
- Tracks the status of payments made for all events with Sales Managers.
- Follows up on all accounts receivable and provides monthly updates to the Director of Sales and Business Manager.
- Verifies deposit/payments tracking schedules with the Sales Manager.
- Ensures proper execution and completion of all post-event paperwork: Party Recap Sheet, Captain’s Report, and Receipts.
- Responsible for proper settlement or payment on the night of the event with the client and enters billing information into POS to generate a final guest check.
- Manages staff hours to ensure budget compliance.
Staff Functions
- Maintains supply of digital and print sales kits and collateral materials.
- Updates sales kit inserts and menus as needed.
- Collects and updates digital content for event marketing.
- Generates a competitive analysis report on a quarterly basis.
- Handles special projects as assigned by the Director of Sales.
- Distributes final contracted SEOs to appropriate parties.
- Trains all staff on proper techniques and etiquette for service.
- Produces a weekly banquet summary for all events, including the number of team members, their scheduled time, and verifies staffing handled by the Operations Manager.
Requirements
- High School Diploma (College Degree preferred).
- Minimum two years in a customer service capacity.
- Working knowledge of computers (Excel, Word, databases).
- Basic mathematical skills.
- Entry-level knowledge of restaurant and music hall operations, food preparation, and restaurant reservation procedures.
- Strong written and verbal communication skills.
- Excellent time management skills.
- Ability to prioritize, organize, and work in a fast-paced, high-volume environment.

Pay
The expected compensation for this position is $65,000.00 USD - $82,000.00 USD. Pay is based on market location, qualifications, skills, and experience.
