Purpose of Job

This position is responsible for the day-to-day administrative support of licensing department services. This role will support licensing administration, record maintenance, association and MLS coordination, incoming department requests, and related operational workflows. Additional duties assigned will vary by department assignment but will include general administrative responsibilities.

Job Duties And Responsibilities (Essential Job Functions)

  • Licensing responsibilities may include any of the following:
    • Support the administration of daily agent licensing activities, including new affiliations, transfers, terminations, renewals, and status changes
    • Prepare, process, and maintain licensing records and documentation in compliance with company procedures and applicable regulations
    • Cook, coordinate and complete annual license renewal processes
    • Maintain accurate agent files, databases, and tracking systems
    • Track deadlines, renewals, expirations, and follow-ups to keep records current
    • Respond to phone calls, emails, and requests related to licensing, including research and follow-up
    • Generate and distribute reports related to agent activity, licensing changes, and related updates
  • Administrative and operational support may include any of the following:
    • Provide general administrative support, including document preparation, record maintenance, and correspondence
    • Aid with association and MLS administration, including memberships, updates, and coordination with external partners
    • Respond to general inquiries and help route requests to the appropriate dept or resource
    • Support preparation and distribution of communications, forms, and department materials
    • Aid with tracking, organization, and process support to help ensure accuracy and consistency
    • Support department operations and company initiatives, including meeting preparation, special projects, and event coordination as assigned
  • Perform any additional responsibilities as requested or assigned (5–10%):
    • Meet all performance and behavior expectations outlined in the company performance appraisal form or communicated by management.
    • Achieve desired results within expected time frames and with a high degree of quality and professionalism.
    • Establish and maintain positive and productive work relationships with all staff, customers and business partners.
    • Demonstrate the behavioral and technical competencies necessary to effectively complete job responsibilities.
    • Take personal initiative for technical and professional development.
    • Follow the company HR Policy, the Code of Business Conduct and all subsidiary and department policies and procedures, including protecting confidential company information, attending work punctually and regularly, and following good safety practices in all activities.

Qualifications

  • Education: High school diploma; some college coursework preferred or equivalent experience and knowledge.
  • Experience: 1 to 2 years previous administrative experience, preferably in real estate, licensing, or compliance environment.
  • Knowledge and Skills: Strong organizational, detail, and time management skills. Ability to manage multiple tasks, deadlines, and follow up items with accuracy. Professional and courteous communication skills, both verbal and written. Strong customer service mindset and ability to work effectively with others. Proficient in word processing, spreadsheet, and presentation software and the ability to learn company systems and third party platforms. Ability to perform responsibilities with minimal supervision, exercise sound judgment, and maintain confidentiality. Demonstrated ability to perform tasks with minimal supervision.

Wage

$23.00 - $26.00 hourly; actual wage is based upon education and experience.
