Licensing and Branding Coordinator (Hybrid)

Responsibilities

  • Maintain licensed brand documentation across agreements, renewals, amendments, and terminations.
  • Organize and manage brand assets from licensors (trend materials, creative references, artwork, etc.).
  • Support internal teams and external partners during licensed brand launches.
  • Set up and maintain licensed brands as suppliers and manage ongoing updates to contacts and records.
  • Partner with Buyers and Merchandising teams to review PO data and resolve discrepancies.
  • Track and manage exception cases related to licensed brand usage.
  • Validate licensed brand orders and escalate issues to ensure contractual compliance.
  • Generate weekly, monthly, quarterly, and ad hoc reporting for internal stakeholders and licensors.
  • Review royalty data and coordinate submission of payments for approval.
  • Ensure accurate tracking and documentation aligned to licensing agreements.
  • Manage workflows for internal and external product approvals.

  • Coordinate brand DNA and packaging approvals with licensors and Packaging teams.
  • Help ensure final products align with brand standards and licensing requirements.
  • Support in educating internal teams on licensed brand portfolios and usage guidelines.
  • Develop and update training materials for global merchandising and operations partners.
  • Support training initiatives across buying offices, sourcing teams, and merchandising functions.
  • Collaborate on initiatives that improve workflows, reduce risk, and increase efficiency.
  • Support technology rollouts and operational enhancements within Licensing & Branding.

Qualifications

  • This role is a mix of creative sensibility and operational precision.
  • Successful candidates are both brand-aware and detail-obsessed.
  • Preferred Experience:
    • Background in licensing, brand management, merchandising operations, retail, or product development.
    • Experience working with contracts, compliance, or royalty reporting.
    • Comfortable managing data, validating orders, and producing reports.
    • Exposure to product approval workflows, packaging coordination, or brand asset management.
  • Key Skills:
    • Strong analytical mindset with exceptional attention to detail.
    • Ability to manage multiple workflows and stakeholders simultaneously.
    • Confident communicator who can follow up, problem-solve, and drive resolution.
    • Highly organized with comfort working in structured processes and timelines.
    • Proficiency in Excel and reporting tools (experience managing datasets is a plus).
    • Collaborative approach with both creative and operational teams.
