Licensing Administrator - Seasonal
Role Overview
Our Licensing team is responsible for ensuring that all Benefit Advisors meet regulatory and carrier requirements before servicing customers. As a Licensing Administrator, you will support end-to-end agent readiness processes, including state licensing and carrier appointments. You will work with cross-functional partners to maintain compliance, improve processes, and ensure a seamless onboarding and readiness experience for advisors.
This role requires strong attention to detail, organizational skills, and the ability to manage multiple processes simultaneously in a fast-paced and evolving environment. This is a seasonal role that will end on 10/31/26.
What You’ll Do
- Manage and execute end-to-end licensing and/or carrier appointment processes for an assigned group of Benefit Advisors or carrier partners
- Support the state licensing process, including screening candidates for eligibility, preparing onboarding documentation, and coordinating exam preparation and scheduling
- Submit and track insurance license applications across all states, maintaining communication with Departments of Insurance to ensure timely approvals
- Cover fingerprinting requirements and ensure all regulatory steps are completed accurately and efficiently
- Monitor and maintain license renewals and continuing education requirements to ensure ongoing compliance across all systems
- Oversee carrier appointment processes, including preparing high-volume reports, tracking appointment status, and resolving delays through analysis and escalation
- Partner with Sales, Training, and Licensing Operations teams to ensure advisors complete all onboarding and certification requirements
- Maintain accurate advisor status records across systems to mitigate compliance risk and ensure agents are authorized to sell only where permitted
- Conduct gap analyses and identify process improvement opportunities to enhance efficiency and accuracy
- Participate in User Acceptance Testing (UAT) for system enhancements and automation related to licensing and onboarding processes
Who You Are
- You have strong experience with Microsoft Office, particularly Excel
- You also have experience using Smartsheet and AgentSync to manage workflows, track information, and support licensing or compliance related processes
- You are highly detail-oriented with strong organizational and administrative skills
- You are adaptable and able to pivot quickly in a changing, fast-paced environment
- You have excellent communication skills and can collaborate effectively with cross-functional teams
- You understand the importance of compliance and can handle sensitive information with discretion
- You are a team player who contributes to achieving shared goals and improving team processes
You have experience with insurance licensing processes and regulatory requirements.
Pay & Benefits
The base pay range reflects the anticipated pay range for this position. The actual base pay offered will depend on various factors including individual skills, experience, performance, qualifications, the department budget, and the location where work is performed.
