Responsibilities

  • Effectively prioritize commitments and manage calendar, including coordination with administrative colleagues to schedule meetings with internal and external stakeholders, calls, events, and other activities
  • Book, manage, and monitor travel
  • Prepare, submit, and monitor expense reimbursements
  • Deliver seamless engagement experiences by managing meeting logistics, including preparation, distribution, and/or printing of materials, maintenance of calendar invites and RSVPs, greeting guests, and preparing technology (video conferencing, collaboration tools, etc.) in advance
  • Handle client interaction and provide telephone assistance
  • Manage contacts with discretion, including tracking, maintaining updated records, and fostering relationships with internal and external clients
  • Prepare attorneys/policy professionals for a variety of internal and external meetings, by gathering, compiling, and reviewing briefing and logistical materials
  • Records management: create, organize client and internal files
  • Create and maintain electronic client files
  • Track all administrative and client-related due dates and deadlines, including time entry and billing
  • Draft, format, proof, and revise documents
  • Filing notices, statements, and other documents with various governmental agencies
  • Various office projects as needed

Qualifications

  • 5+ years of experience as a Legislative Assistant or Executive Assistant, preferably supporting high-level attorneys and policy professionals
  • State entities/agencies, law firm, and/or professional services experience highly preferred
  • Excellent organizational and time management skills, ensuring both routine and urgent tasks are completed successfully and in a thorough and timely manner
  • Experience applying significant discretion to sensitive or confidential information; prior experience working and communicating with senior executives a plus
  • Strong interpersonal, verbal, and written communication skills, including the ability to maintain open communication
  • A candidate who has the ability to prioritize and manage work load independently would be best suited for this opportunity
  • Strong PC skills are required, specifically in Word, Outlook, Excel, and managing Zoom

Benefits

Brownstein offers a comprehensive benefits package that includes medical, dental, vision, 401k + match, profit sharing, and vacation/sick/personal time off, in addition, this role pays overtime for hours worked above 40 per week. The salary range for this role is from $65,000 - $75,000.
