About the Role

Guggenheim Investments is seeking a proactive, energetic, and experienced paralegal professional to lead its GI Legal Support (GILS) team. This person will manage a team of paralegals while remaining hands-on in supporting attorneys and functions across the Guggenheim Investments legal group. The ideal candidate will demonstrate meticulous organizational skills, high attention to detail, and the ability to proactively manage and track various projects, oversee the work of others, take ownership over team deliverables, and work on a variety of time-sensitive matters.

The successful candidate must exercise excellent judgment, have exceptional communication skills, and demonstrate the ability to manage stakeholders across the firm at all levels. The candidate is a player-coach and must be comfortable interacting with senior attorneys and business partners. Prior experience from a financial services legal team, including entity management and fund-related work, is required. This full-time role is based in New York.

Responsibilities

  • Supervise, coach, and develop the GILS paralegal team, including workload allocation, quality review, performance management, and hiring; facilitate GI Legal workflows and track team projects through the project management system.
  • Lead delivery of legal support services across GI Legal and cross-functional partners (accounting, treasury, finance, tax), including the preparation, execution, and maintenance of legal documents and materials for GI and Fund entities, and compiling documents and signature pages for closings. Coordinate NDAs, access letters, and non-reliance letters (NRLs).
  • Oversee the Entity Formation and Dissolution process end-to-end, maintain electronic corporate minute books, and keep entity, organizational, and directors, officers, and authorized signatory data current for internal reporting, organizational spreadsheets for regulators, and the entity matrix supporting GPIMH Credit Facility compliance.
  • Oversee corporate secretarial services, including Board of Directors and committee meeting logistics, materials, and documentation — primarily for foreign entities.
  • Own intake and first-level review of vendor contract requests from the GILS centralized inbox — confirming alignment with the Contract Summary Form, verifying documentation, and escalating to an attorney where warranted.
  • Respond to AML/KYC requests relating to firm governance matters, including providing entity, ownership, director, officer, and authorized signatory information, and coordinating supporting documentation with internal stakeholders and external counterparties.
  • Oversee tracking and maintenance of possessory collateral for client investments, including intake and outtake logging and annual reconciliation, as well as litigation tracking.
  • Oversee lien search ordering, review of results, and preparation of lien summaries.
  • Organize and maintain files relating to transactional, regulatory, and other legal matters; oversee maintenance of the GPIM Clients and related OpenText document repositories; and respond to and triage information queries from internal and external sources (e.g., document look-up, entity ownership, signatory queries).
  • Manage first-line processing of legal invoices and serve as senior escalation point for legal e-billing, matter creation, and e-billing reporting data questions.
  • Administer access and data governance for GI Legal systems, including approving access to Corporate Legal, GI Legal, and Investment Management OpenText databases and conducting quarterly SOUR access and entitlement reviews.
  • Promote data integrity, file completeness, and compliance with governance and firm policies.
  • Review team-prepared PowerPoint presentations, Excel worksheets, and Visio diagrams (e.g., entity organizational charts).
  • Coordinate travel and expense support for GI lawyers.
  • Lead special and recurring projects, including overhauls of file and data storage systems.

Requirements

  • Bachelor’s degree.
  • 5+ years of paralegal experience in an investment firm or law firm supporting Asset Managers.
  • 2+ years of supervisory experience over paralegals or legal support staff.
  • Experience preparing legal documents that are finance-related.
  • Knowledgeable of vendor contracts, maintaining meeting minutes, and drafting spreadsheets.
  • Strong familiarity with AML/KYC processes, subscription documentation, closing mechanics, and document management.
  • Excellent organizational skills, attention to detail, and ability to manage multiple time-sensitive matters simultaneously.
  • Strong written and verbal communication skills and the ability to work effectively with attorneys, clients, and external counterparties.
  • Advanced proficiency with Microsoft Word, Excel, PDF tools, and electronic signature/document management platforms.
  • Exceptional grammar, spelling, and proofreading skills.
  • Proven ability to meet strict deadlines under significant time constraints.
  • Must be able to work a flexible schedule with some overtime required.

Preferred Qualifications

  • Paralegal certificate.
  • 7+ years of paralegal experience in transactional work, with half or more of that experience with private funds, investment management, public pensions, or related areas.
  • Prior experience managing or leading a paralegal or legal support team in a financial services or asset management setting.
  • Experience with private fund subscriptions, investor-side fund closings, or fund formation/fund operations strongly preferred.

Candidates must be authorized to work in the U.S. without current or future visa sponsorship or transfer.

Pay

Annual base salary between $130,000.00 and $140,000.00. The base salary range represents the low and high end of the anticipated base salary range for this position. Actual base salaries may vary depending on factors such as location and experience. The range listed reflects base salary only, and the total compensation package may include other components such as incentive compensation.
