Job Summary
Key Responsibilities
- Maintain attorney calendars and tickler systems to track key dates and deadlines.
- Schedule meetings with clients, experts, attorneys, co-counsel, and court appearances.
- Manage and review incoming mail using OnBase, ensuring proper indexing and calendaring for attorney review.
- Draft correspondence and memos to request or share legal information.
- Communicate with clients to obtain required case details and documentation.
- Maintain and organize electronic confidential legal files, ensuring accurate documentation of all case activities.
- Prepare and file discovery, pre-trial, and trial documents with courts as required.
- Cookordination and maintenance of schedules for discovery activities involving plaintiffs and defendants.
- Provide legal secretarial support for various matters, both short-term and long-term assignments.
- Answer and screen telephone calls professionally and efficiently.
- Transcribe dictations and type correspondence, pleadings, court forms, reports, and legal summaries.
- Assist and back up other secretaries as needed to ensure workload balance.
- Stay updated on current court rules and procedural requirements.
- Support department and company projects as assigned.
Education and Experience
- A high school diploma or GED is required.
- A minimum of 7 years of defense trial and litigation experience in a legal or similar professional setting is required.
- A minimum of 3 years' recent California Civil Litigation experience is required.
- Proven trial preparation experience is mandatory.
Skills and Abilities
- Excellent organization, communication, and time management skills.
- A strong knowledge of court procedures and litigation processes.
- A high attention to detail with the ability to work independently and take initiative.
- A proficient typing speed of 70+ words per minute is required.
- A strong knowledge of MS Word and case management software.
