About the role

We are looking for a detail-oriented Legal Secretary to support attorneys and paralegals in a busy Commercial Real Estate practice in Addison, Texas. This contract opportunity with permanent potential is ideal for someone who thrives in a fast-paced legal environment, manages multiple priorities with accuracy, and communicates professionally with clients and internal teams.

Responsibilities

  • Prepare, format, revise, and proofread legal correspondence and transaction documents related to acquisitions, lending, sales, leases, and entity records.
  • Manage the setup of new clients and matters by coordinating conflict checks, creating electronic records, and organizing physical files.
  • Draft engagement letters for new matters and follow through on circulation and execution.
  • Process outgoing mail carefully and ensure all supporting materials and enclosures are included before distribution.
  • Review incoming mail and direct documents and communications to the appropriate attorney or paralegal for action.
  • Organize title commitments and supporting exception materials for attorney and paralegal evaluation.
  • Assemble closing binders and maintain complete, orderly records for completed transactions.
  • Enter attorney and paralegal time accurately into the accounting system and keep filing current and well organized.
  • Provide additional administrative and client support as needed while assisting multiple legal professionals on transactional matters.

Requirements

  • 3-5 years of experience in a legal secretary position, with commercial real estate experience required.
  • High school diploma or equivalent required.
  • Proficiency with Microsoft Word and Excel, along with strong technical ability in document editing and formatting.
  • Demonstrated skill in redlining, revising, and comparing legal documents with a high degree of accuracy.
  • Familiarity with transactional legal terminology and documents, including leases, acquisitions, sales, and loan-related materials.
  • Strong organizational, proofreading, and time management skills with the ability to meet deadlines in a high-volume setting.
  • Strong communication skills and experience interacting with clients, attorneys, and support staff.
  • Ability to work overtime on short notice and contribute effectively both independently and as part of a team.
