Hall Booth Smith, P.C. in Albuquerque is seeking a legal secretary with two or more years of litigation experience.
Responsibilities
- Transcribe dictation and format letters, pleadings, and other legal forms.
- Prepare rough drafts, proofread, and finalize legal documents.
- Copy, mail, and distribute letters, documents, and packages via USPS, FedEx, or courier.
- File legal documents with courts and ensure proper cc/bcc distribution.
- Ensure compliance with client guidelines for document preparation and mailing.
- Open new files, perform conflict checks, and draft client acknowledgment or engagement letters.
- Maintain file content, indexes, and tabulations.
- Update computer records and client/case information.
- Enter, proofread, and balance attorney billable time.
- Maintain attorney calendars, including due dates for pleadings, hearings, and trials.
- Manage and route attorney mail appropriately.
- Review, confirm, and forward client bills and invoices for payment per client guidelines.
- Close and prepare files for storage.
- Assist in preparing files for hearings and depositions.
- Answer and screen calls for attorneys with professionalism and tact.
- Schedule depositions as needed.
- Participate in strategic planning committees.
- Mentor and train new employees.
- Perform receptionist duties and provide flexible support as needed.
Requirements
- Two or more years of litigation experience.
- Accurate typing speed of 70 words per minute.
- Knowledge of court rules and legal document formats (e.g., pleadings, motions, certificates of service).
- Familiarity with legal, medical, and related terminology.
- Strong spelling, grammar, and proofreading skills.
- Ability to organize, prioritize, and manage tasks with minimal supervision.
- Impeccable integrity in handling confidential matters.
- Professional interpersonal skills for communicating with attorneys, staff, and clients.
- Proficiency with computers and office equipment.
Work Environment
- Work may occasionally require more than 40 hours per week.
- Primarily sedentary work with sitting, bending, stooping, and keyboarding.
- Frequent use of hands and telephone contact.
- May require lifting 25–50 lbs. or more.
- May require driving to offsite locations for document collection or filing.
