About The Role
We're looking for a Legal Secretary to serve as the operational engine and a key contributor to our Legal team. This is a high-impact role, working with a legal team that interacts with every part of the company. You'll work directly with the Head of Legal & Policy across a variety of matters, serving as a key contact, responding to requests from business partners and counterparties, and managing complex and growing activities.
This role requires a high degree of ownership and judgment—you'll be expected to operate independently, prioritize effectively in a fast-moving environment, and exercise discretion with confidential and sensitive information.
Key Responsibilities
- Aid in drafting, editing, proofreading, and filing legal documents and correspondence.
- Build and manage organizational systems; improve and automate existing processes.
- Provide executive and administrative support to the legal team, from scheduling to communications and correspondence.
- Prepare meeting materials, agendas, and briefing packets; track action items and follow-ups to completion.
- Cook up travel, hearings, conferences, and other engagements.
- Manage contracting intake through execution; build and maintain contract repositories.
- Track filing deadlines and comment windows across federal, state, and international regulatory proceedings; assist with assembling and submitting filings and monitoring dockets.
- Design and document repeatable processes for recurring legal workflows, including contract intake, signature routing, deadline tracking, and matter management.
- Conduct research, summarizing and compiling findings for the legal team.
- Manage outside counsel and vendor coordination, including engagement logistics and invoicing; manage relevant budgets.
Minimum Requirements
- 4+ years of experience as a legal secretary, legal assistant, paralegal, or legal operations coordinator, in a law firm practice group or in-house legal department.
- Ability to manage multiple and competing tasks, processes, and activities; experience maintaining contract repositories and providing administrative support across commercial activities.
- Adept in executive and administrative support.
- Exceptional attention to detail, discretion, and judgment handling confidential information.
- Excellent written and verbal communication skills; able to interact professionally with executives, regulators, and outside counsel.
- Comfortable operating in ambiguity and a fast-paced environment.
Preferred Requirements
- Hands-on experience with AI tools and workflow automation.
- Experience with technology, AI/ML, or energy-related companies and/or industries.
- Familiarity with regulatory docket and filing systems.
