Responsibilities
- Provide comprehensive administrative and legal support to multiple attorneys.
- Open new matters, coordinate engagement documentation, and initiate conflict checks.
- Prepare, proofread, and format correspondence, agreements, pleadings, briefs, and other legal documentation.
- Create and save documents in accordance with Firm protocols.
- Manage attorney calendars and assist with scheduling meetings and appointments.
- Record and monitor deadlines through the Firm docketing system and attorney calendar systems.
- Assist with State and Federal court filings, including electronic filing when required.
- Prepare tables of contents and authorities.
- Organize and prepare materials for depositions, hearings, arbitrations, mediations, trials, and client meetings.
- Assist with attorney travel and accommodation arrangements.
- Process attorney and client reimbursements and invoices.
- Edit and finalize client proformas and bills.
- Work collaboratively as part of a team and provide support to other Legal Secretaries as needed.
Requirements
- High School diploma or general education degree (GED) and a minimum of five years of related experience.
- Demonstrated proficiency in Microsoft Office Suite, including Word, Outlook, Excel, and PowerPoint, with the ability to learn new software applications.
- Excellent written and verbal communication skills and the ability to interact effectively with attorneys, clients, and staff at all levels.
- Strong attention to detail and organizational skills, with the ability to manage multiple priorities and meet deadlines.
- Ability to learn and work within firm applications, including InTapp, Proforma Tracker, kiteworks, and other business systems.
- Ability to read and comprehend instructions, correspondence, memos, legal documents, and technical materials.
- Strong working knowledge of court rules and procedures preferred.
- Experience with State and Federal court filings, including electronic filing, preferred.
- Demonstrated ability to exercise sound judgment and maintain confidentiality.
- Excellent interpersonal and communication skills.
