Legal Operations, Billing & Spend Management

Verkada · San Mateo, CA · 3 wk ago
On-siteLegal$120k–$180k/yrFull-time

About the role

We're looking for a legal operations rockstar to join our fast-growing legal team and serve as the financial and operational backbone of Verkada's legal function. This role is primarily focused on legal spend management, budgeting, forecasting, vendor oversight, and financial operations across the entire Legal organization.

This includes fiscal year planning, outside counsel legal fees, software, professional services, headcount, travel, and other operating expenses. Secondarily, we are looking for someone with strong operational skills, who is highly organized, analytically strong, and comfortable owning complex, cross-functional workstreams.

What You'll Do

  • Own end-to-end management of the entire budget for Verkada’s legal team, including outside counsel, software, professional services, headcount, travel, and other opex.
  • Partner closely with Verkada’s finance team on budgeting, accruals, variance analysis, and fiscal year planning
  • Manage our legal billing platform, including invoice review workflows, vendor compliance, matter budgeting, reporting, and ongoing process optimization (ideally you have experience with our specific platform, SimpleLegal).
  • Develop and maintain dashboards and reporting that provide legal leadership with clear visibility into current spend, forecast accuracy, trends, and risks.
  • Lead vendor and outside counsel management workflows, including outside counsel billing policies, spend expectations, and budget discipline.
  • Drive operational initiatives that improve how the Legal team functions, including creating and maintaining processes and structural support around internal and external workflows, team record-keeping standards and systems, and file organization systems
  • Support and refine eDiscovery, legal hold, and document management processes using department tools and systems.
  • Identify opportunities to automate manual work and streamline operations through the use of AI, tooling, integrations, or process redesign.
  • Provide operational support across the contracting lifecycle, including optimizing our CLM system

What You Bring

  • 3–8+ years of experience in legal operations, legal financial management, paralegal work, or a comparable in-house role with ownership of complex workflows.
  • Deep experience with budgeting, forecasting, accruals, spend management, vendor oversight, and eBilling platforms
  • Strong experience with CLM and eDiscovery/legal hold tools and processes.
  • Proven ability to operate independently, prioritize effectively, and move work forward without detailed instruction – coupled with exceptional attention to detail and follow-through.
  • Clear, confident written and verbal communication skills.
  • Familiarity with Google Workspace (including advanced use of Google Sheets for tracking, modeling, and reporting), SimpleLegal, MS 365 (specifically Word and Excel), Pigment, Logikcull, Ironclad, DocuSign, Slack, Monday, and the ability to quickly learn and adapt to new tools and systems.
  • Comfort operating in a fast-paced, high-growth environment with evolving needs.

Employee Benefits

  • Healthcare programs that can be tailored to meet the personal health and financial well-being needs - Premiums are 100% covered for the employee under at least one plan and 80% for family premiums under all plans
  • Nationwide medical, vision and dental coverage
  • Health Savings Account (HSA) with annual employer contributions and Flexible Spending Account (FSA) with tax saving options
  • Expanded mental health support
  • Paid parental leave policy & fertility benefits
  • Time off to relax and recharge through our paid holidays, firmwide extended holidays, flexible PTO and personal sick time
  • Professional development stipend
  • Wellness/fitness benefits
  • Healthy lunches provided daily
  • Commuter benefits

Additional Information

  • You must be independently authorized to work in the U.S. We are unable to sponsor or take over sponsorship of an employment visa for this role, at this time.
  • Annual Pay Range: At Verkada, we want to attract and retain the best employees, and compensate them in a way that appropriately and fairly values their individual contribution to the company. With that in mind, we carefully consider a number of factors to determine the appropriate starting pay for an employee, including their primary work location and an assessment of a candidate's skills and experience, as well as market demands and internal parity. A Verkada employee may be eligible for additional forms of compensation, depending on their role, including sales incentives, discretionary bonuses, and/or equity in the company in the form of restricted stock units (RSUs)
