About the role

Gerber Ciano Kelly Brady LLP is seeking a Legal Assistant with 3+ years of experience in construction-related litigation to join our team.

Responsibilities

  • Provide comprehensive administrative and legal support to attorneys handling construction-related litigation matters.
  • Draft, prepare, format, proofread, and revise litigation documents, including correspondence, pleadings, discovery demands and responses, motions, subpoenas, mechanic’s liens, bond claims, and settlement documents.
  • Aid in electronic filing in State and Federal Courts while maintaining client confidentiality and ensuring the secure handling of documents.
  • Communicate with courts, clients, contractors, experts, opposing counsel, and co-counsel while keeping attorneys updated on case developments and deadlines.
  • Manage attorney calendars and proactively coordinate court appearances, depositions, inspections, meetings, and other case-related deadlines.
  • Cook up with court reporters, interpreters, experts, and other litigation vendors as needed.
  • Organize and maintain construction-related case materials, including contracts, change orders, project correspondence, plans, specifications, payment records, and other project documentation.
  • Open and close files, ensuring that documentation is organized and accessible, and scan, save, and file documents within the firm’s document management system.
  • Perform data entry, process expense reports and check requests, and manage large mailings.
  • Transcribe dictation, type documents, and arrange travel accommodations as necessary.
  • Record and securely maintain client information, assist with attorney marketing initiatives, and provide overflow support to other attorneys as needed.
  • Collaborate on team projects, follow established workflow procedures, and perform general administrative and clerical duties as required.

Qualifications

  • At least 3 years of experience supporting construction-related litigation matters.
  • Associate’s degree or higher preferred.
  • Knowledge of construction litigation terminology, procedures, and documentation.
  • Proficiency in Microsoft Office, including Word, Excel, PowerPoint, Outlook, and Teams.
  • Proficiency with document and case management systems and other legal software applications.
  • Knowledge of State and Federal Court electronic filing procedures in CT and MA, with additional experience in NY and other states as a plus.
  • Strong attention to detail, communication, organizational, and multitasking skills.
  • Ability to anticipate schedules and deadlines and move projects forward proactively.
  • Exceptional planning, prioritization, and time-management skills.
  • Ability to work effectively under deadlines and remain flexible when responding to unforeseen demands.
  • Experience working in a high-volume legal environment is preferred.
