Legal Assistant
About the Role
Our Oklahoma City office is looking for a Practice Assistant to support the delivery of quality legal services to clients by providing secretarial and administrative assistance to attorneys. This position works under the direction of attorneys and paralegals, performing complex and specialized secretarial and clerical tasks in a team-oriented environment. The Practice Assistant supports multiple attorneys as primary assignments and provides back-up secretarial assistance to other attorneys as needed. May also provide back-up to receptionist depending on office size.
Responsibilities
- Prepare and process correspondence, memoranda, and complex legal documents using word processing and document management software, ensuring proper formatting, spelling, and grammar.
- Independently compose and draft routine cover letters and documents; proofread, revise, and redline documents as directed.
- Prepare documents for e-filing as required.
- Review, route, and process incoming and outgoing mail, faxes, and specialized deliveries, ensuring all attachments and exhibits are included.
- Maintain and update attorneys’ calendars, including meetings, appointments, due dates, and client-related activities.
- Maintain paper and electronic files in compliance with internal policies, including routine filing and retrieval.
- Prepare time entries, expense reimbursement requests, and disbursement requests for assigned attorneys; coordinate client billing with the Billing Department.
- Prepare and process new matter documents.
- Screen and direct phone calls, clients, and visitors; take messages as required.
- Coordinate travel arrangements, prepare itineraries, and process travel expense reports.
- Schedule meetings, arrange conference rooms, and coordinate meals.
- Communicate professionally with clients and firm personnel; anticipate attorneys’ business needs, plan ahead, and meet deadlines.
- Provide additional administrative support as needed, including mentoring new staff and assisting with piloting new software.
Requirements
- 4+ years of experience as a practice assistant or legal secretary.
- Knowledge of legal terminology, documents, and processes.
- Typing speed of at least 70 words per minute with accuracy.
- Strong computer proficiency in MS Office, document management, time entry, e-filing, and database software.
- Excellent written and verbal communication skills.
- Strong understanding of grammar, spelling, and punctuation; superior proofreading skills.
- Exceptional organizational skills, including filing, calendaring, and time management.
- Ability to work independently and collaboratively in a team environment.
