About the Role

The Legal Assistant will provide administrative and legal support to attorneys across multiple practice areas, including Litigation, Labor & Employment, and Corporate Law. This role manages legal documents, coordinates attorney workflows, supports billing and client intake processes, and ensures exceptional service to both internal and external clients. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced law firm environment.

Responsibilities

  • Prepare, revise, proofread, format, and finalize legal correspondence, pleadings, contracts, memoranda, and other legal documents.
  • Maintain attorney calendars, schedule meetings, depositions, court appearances, and conference calls, and coordinate travel arrangements when needed.
  • Enter, review, edit, and release attorney time entries.
  • Assist with client billing by reviewing pre-bills, coordinating revisions, and working with the finance department to finalize invoices.
  • Process expense reimbursements and monitor payment status.
  • Support new client and matter intake, including conflict checks, engagement letters, and opening new matters.
  • Organize and maintain electronic and physical client files throughout the matter lifecycle, including file closing procedures.
  • Manage incoming and outgoing correspondence, mail, and legal documents.
  • Answer and direct telephone calls and communicate professionally with clients, courts, opposing counsel, and internal staff.
  • Coordinate with departments including Finance, Marketing, Records, Office Services, Library, and Business Intake to support attorneys and client matters.
  • Utilize document management systems and legal technology to improve workflow efficiency.
  • Assist with electronic filing and maintain knowledge of applicable court rules and filing procedures.
  • Provide backup support for other legal assistants as needed.
  • Participate in training and contribute to continuous process improvement initiatives.
  • Perform additional administrative and legal support duties as assigned.

Requirements

  • High school diploma or equivalent required; some college coursework preferred.
  • Previous administrative or legal secretarial experience required.
  • Notary Public commission is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and legal document management software.
  • Strong knowledge of legal terminology, law firm procedures, and document preparation.
  • Excellent written and verbal communication, proofreading, grammar, and editing skills with exceptional attention to detail.
  • Strong organizational, time management, and multitasking abilities with the ability to meet deadlines in a fast-paced environment.
  • Ability to work independently and collaboratively while maintaining professionalism, confidentiality, and outstanding client service.
  • Strong interpersonal skills with the ability to effectively communicate with attorneys, clients, and staff.
  • Regular attendance and the ability to work on-site according to the firm's established schedule are required.

Pay

$85,000 – $105,000 per year
