Legal Administrator
Responsibilities
- Manage incoming and outgoing mail by opening, sorting, scanning, copying, and distributing documents to the appropriate recipients
- Answer and direct telephone calls courteously, ensuring messages are relayed accurately and promptly
- Prepare and maintain conference rooms by tidying spaces, arranging materials, and supporting meeting readiness throughout the day
- Monitor office supply levels, place replenishment orders, and help keep shared work areas stocked with essential items
- Provide beverage and hospitality support, including maintaining coffee service for staff and visitors
- Aid in document handling and administrative support using legal and office software to keep records accessible and organized
- Support calendar-related coordination and help maintain orderly scheduling for meetings and office activities
- Contribute to billing, claims, collections, or case-related administrative tasks as needed within legal support operations
Requirements
- Experience in office administration, legal support, or a similar administrative role
- Proficiency with Adobe Acrobat and Microsoft Office-style document management tasks
- Working knowledge of legal or practice management platforms such as Aderant, CompuLaw, Conveyancer, or case management software
- Able to manage high-volume scanning, copying, filing, and mail distribution with strong attention to detail
- Comfortable handling multi-line phone support and directing calls with attention to detail
- Strong organizational skills with the ability to prioritize routine office needs and shifting requests
- Experience supporting calendar coordination, billing functions, claim administration, or collection-related processes is preferred
