Responsibilities
- Support daily administrative activities for legal and regulatory functions by managing records, preparing documents, handling correspondence, and maintaining orderly filing systems.
- Collect, organize, and monitor materials needed for legal, regulatory, vendor, customer, and internal business matters to ensure information is complete and easy to retrieve.
- Process administrative payment items such as check requests, invoices, filing costs, state fees, and related documentation with accuracy and timeliness.
- Maintain both digital and hard-copy files using consistent naming, storage, and recordkeeping practices so critical documents remain accessible.
- Track timelines, recurring deliverables, follow-up items, and pending actions to help legal and regulatory work stay on schedule.
- Cook up administrative steps for signatures, approvals, notarizations, certificates, apostilles, and similar documentation requirements.
- Aid in the preparation and submission of feed tonnage reports by compiling supporting sales, product, volume, and state-specific information.
- Partner with internal teams to obtain missing reporting details, resolve routine documentation questions, and maintain records of submissions, confirmations, and fee payments.
- Provide support for export-related administrative activities, including monitoring secretary of state information and assisting with trade compliance documentation when needed.
- Contribute to special assignments, audits, and information requests while collaborating with Finance, Sales, Customer Service, Supply Chain, and other departments.
Requirements
- Experience providing administrative support within legal, regulatory, compliance, finance, or other corporate business functions.
- Working knowledge of document control, record maintenance, invoice handling, check requests, and filing coordination.
- Ability to manage multiple deadlines with strong attention to detail and consistent follow-through.
- Experience supporting regulatory reporting, state filings, fee payments, or similar compliance-related administrative processes.
- Strong communication skills with the ability to work effectively across Legal, Regulatory, Finance, Sales, Customer Service, and Supply Chain teams.
- Proficiency in gathering, organizing, and validating data for reports and supporting documentation.
- Familiarity with trade compliance, import/export processes, or related documentation is preferred.
- Experience in a regulated industry such as consumer products, manufacturing, pet food, animal feed, or similar environments is a plus.
